Office Assistant – Full-Time
Arch Orthopedic and Spine is seeking a dependable, organized, and patient-focused Office Assistant to join our team.

The primary responsibility of this role will be processing and sending medical records accurately and promptly. The Office Assistant will also provide general support to our administrative staff and may assist with answering phones and other office responsibilities as needed.
Responsibilities
- Process and send medical records accurately, efficiently, and in accordance with HIPAA requirements
- Review medical record requests for completeness and accuracy
- Fax medical records, forms, and other documents to medical offices, attorneys, insurance companies, and other requesting parties
- Maintain organized documentation and track outstanding requests
- Assist administrative staff with scanning, filing, data entry, and other office tasks
- Answer and route incoming phone calls as needed
- Communicate with patients and outside organizations in a professional, helpful, and compassionate manner
- Work collaboratively with team members and assist in other areas when needed
- Help ensure every patient receives an exceptional experience
- Complete additional administrative duties as assigned
Qualifications
- High school diploma or equivalent required
- Strong commitment to patient service and teamwork
- Willingness to go above and beyond to assist patients and coworkers
- Comfortable using fax systems and handling electronic documents
- General knowledge of Microsoft Office and Google Workspace
- Strong attention to detail and organizational skills
- Dependable, punctual, and able to manage tasks independently
- Professional written and verbal communication skills
- Comfortable using computers and learning new software
- Ability to handle confidential information appropriately
- Previous medical office or administrative experience preferred
- Experience using eClinicalWorks, or eCW, is a significant plus
