We are seeking a dynamic and energetic Front Desk Receptionist/Office Assistant to be the welcoming face of our organization and ensure smooth daily operations. Duties
- Greet visitors warmly and professionally, creating a positive first impression for clients and guests
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries promptly while maintaining confidentiality
- Maintain organized filing systems, including digital data entry, document proofreading, and record keeping
- Support office management tasks such as calendar scheduling, appointment setting, and travel arrangements
- Assist with bookkeeping activities using QuickBooks or similar software for basic invoicing and expense tracking
- Perform clerical duties including photocopying, faxing, mailing, and inventory management of office supplies
- Provide exceptional customer support by addressing questions or concerns efficiently and professionally.
- Checking insuranc elegibility and obtaining prior authorizations
Experience
- Proven experience in front desk reception or office administration roles with strong organizational skills
- Familiarity with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members in both english and Spanish
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
- Previous clerical experience involving filing, proofreading documents, and managing schedules or calendars
- Experience with bookkeeping software such as QuickBooks or similar platforms is a plus
- Strong time management skills with the ability to prioritize tasks efficiently in a busy environment
- Personal assistant or administrative support experience is beneficial for handling varied responsibilities
