Health Allies Counseling is a mid-sized mental health practice that provides ongoing mental health counseling, advocacy and support services in Oregon and Washington. In addition to one-on-one counseling, we offer services in small groups and classes, bring in other support services and resources (trauma informed yoga, forensic specialists, etc.) as part of client treatment, and are active in psychoeducation activities such as international podcasts, research, and public speaking. We work closely with area professionals such as naturopaths and medical professionals, domestic violence agencies, the legal system, and the Oregon Health Authority (Medicaid) in support of our clients. Practitioners are trauma-informed, often with lived experience in the areas in which we provide services. We welcome people of all sizes, races, gender identities, and sexual orientations.
The Client Care Coordinator is a self-directed and team oriented administrative position that serves as our front desk position. This position ensures smooth day to day operations in client care. It is an integral part of the clinic, partnering with the practice owner, practice manager, quality assurance manager and therapists to facilitate successful accomplishment of client services and the supporting financial, operational and quality goals; facilitating engagement of clients with providers, helping support a vision for the clinic of a culture of clinical and service excellence, continuous improvement, and compassionate care.
This position will primarily involve Intake Coordinator duties performed in a trauma informed manner. You will be the point of contact for potential clients, working with providers and clients to place clients into our services. This is done by phone and email, and can be complicated in a large team of mental health professionals, involving understanding each clinician's specialties and desired clients, understanding and communicating complicated information about insurance coverage, and being self-directed and highly proficient in professional communication. Our clients require trauma- informed care and may need additional patience and guidance.
There is a high degree of responsibility for triaging the high number of contacts and answering the most important contacts first constantly throughout the day, listening to clients and answering clients clearly and compassionately, documenting all conversations in client charts, reviewing intake documentation for completeness, and being aware of ethics and responsibilities with regards to handling medical information. This position may include running weekly reports, collecting copays and coinsurance, and assisting the Practice Manager and Director with various administrative tasks. May also involve scheduling clinicians' use of therapy rooms, ordering supplies, and general office support.
Candidates must be fluent with Google Suite products and electronic medical records, possess strong communication and customer service skills, be highly organized, and have good problem-solving skills. Attention to detail, data accuracy, and proficiency with multi-tasking are a must. This role requires a team player who is also comfortable working independently. As a Mental Health Front Desk and Client Care Referral Coordinator reliability and punctuality are absolutely crucial!
Applicants must have a minimum of 2 years of referral coordination, and/or client care experience in a fast paced medical/mental health office setting and High school degree or equivalent is required.

Experience & Requirements:
- Two or more years of experience and proficiency working with an EHR/EMR system (Preferred)
- Experience and proficiency with Google Workspace/G Suite products (Preferred)
- Medical and Mental Health client calls & emails: 2 years (Required)
- Critical thinking/ability to prioritize
- Ability to answer high volumes of phone calls, and mails in a prompt and professionally
- confident manner
- Excellent communication skills with the ability to communicate clearly and concisely, both orally and in writing
- Demonstrates self-direction, professional decision making, ability to multitask, and attention to detail.
- 2-3 years of excellent customer service skills (empathy and compassion) (Required)
- Ability to adapt and learn new processes and procedures
- Willingness to receive ongoing training and supervision.
- 1 year of working under HIPAA (Preferred)

This position reports to the Clinic Manager and works in a team with several other members. This person is required to be in person in an office working with the other administrative staff, as well as with therapists and clients in SE Portland.
