Human Resources Assistant / Receptionist (Bilingual Spanish-English)
Location: On Site Personnel Group, 5th Street Office – Philadelphia, PA
Schedule: Monday through Friday, 8:30 a.m. to 5:00 p.m. Additional hours may be required based on business needs.
Position Summary
On Site Personnel Group is seeking a friendly, organized, and detail-oriented Bilingual HR Assistant / Receptionist to support our busy staffing office. This position serves as the first point of contact for applicants, employees, clients, and visitors while providing administrative, recruiting, onboarding, and payroll support to the branch team.
The ideal candidate will possess excellent customer service skills, a professional phone presence, strong administrative abilities, and the ability to communicate effectively in both English and Spanish.
Key Responsibilities: Reception & Front Desk Operations
- Answer and direct incoming phone calls in a professional and courteous manner.
- Greet applicants, employees, clients, and visitors.
- Manage front desk operations and maintain a welcoming office environment.
- Respond to general inquiries regarding employment opportunities, payroll, and company services.
- Assist walk-in applicants with completing employment applications and onboarding documents.
- Schedule interviews, orientations, and employee appointments.
Recruiting Support
- Process employment applications and maintain applicant records.
- Screen candidates through phone interviews and initial assessments.
- Support recruiters with applicant tracking, and candidate communications.
- Assist with recruiting events, job fairs, and hiring initiatives.
Onboarding & Human Resources Support
- Complete employee onboarding and new hire paperwork.
- Verify employment eligibility documents and assist with I-9 completion.
- Maintain employee files and ensure compliance with company policies and procedures.
- Assist employees with payroll, benefits, and employment-related questions.
- Support HR functions including recordkeeping, reporting, and compliance documentation.
Payroll & Administrative Support
- Assist with weekly payroll processing and timecard collection.
- Maintain accurate data within company systems and databases.
- Perform general office and clerical duties as assigned.
Qualifications
- Minimum 2 year of administrative, receptionist, customer service, or office support experience.
- Previous staffing, recruiting, payroll, or human resources experience preferred.
- Bilingual in Spanish and English (required).
- Excellent verbal and written communication skills.
- Pleasant and professional phone voice and customer service demeanor.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office technology.
- Ability to work in a fast-paced environment and handle confidential information professionally.
- Strong attention to detail and accuracy.
