Vivo Infusion Patient Access Manager:
The Patient Access Manager is a dynamic leadership role that drives the success of the Patient Access Team by overseeing critical operational and financial processes within the Patient Services department. This position is key to optimizing team performance and enhancing overall efficiency. Working closely with the Revenue Cycle Management leadership team, the Manager plays an integral role in streamlining the claims process. With a focus on goal development, productivity, and performance measurement, this position ensures the team consistently meets objectives while providing timely and accurate status updates. Applicants should have the skills and experience below:
5 years of experience working in a high-volume healthcare insurance or Patient Services/Patient Access role. Existing advanced working knowledge of medical billing, medical insurance, accounting, HIPAA compliance, Medicare/Medicaid, medical abbreviations, and terminology is required.
3 years of experience managing direct reports, preferably with experience leading a team remotely.
Must be willing to travel for training, employee development, and education.
Compensation:
- Pay Range: $75,000.00 - $80,000.00/year
- Bonus Plan Target: 10% Annually (Based on performance)

Primary duties and responsibilities:
- Oversee the referral tracking system and assist with making necessary updates
- Coordinate systems configuration in the EMR and billing systems to ensure information is current and aligned to the business process in collaboration with the Patient Services and Revenue Cycle Management Leadership Teams
- Act as primary contact for new systems/processes affecting Patient Services department, work with various company contacts toward implementation and oversight of new programs and processes
- Act as final escalation point for unique and challenging issues, provide research and direction to assist team member in getting issues resolved
- Collaborate with Clinical Operations, Payer Relations, Marketing, as well as Patient Services to resolve complex business/admissions issues
- Oversee the daily operations of the team, including but not limited to establishing goals, assigning tasks, and managing time & attendance
- Review weekly and monthly metrics to identify trends or areas of focus; and develops, documents, and implements action plans, as appropriate, to address business needs
- Work closely with Senior Director of Patient Services and senior management on business decisions that have major impact on the organization
- Make recommendations for changes to existing processes and policies & procedures • Maintain current knowledge of payor-related contracts, including state and federal mandates/guidelines as applicable
Hiring and Staffing:
- Initiate hiring activity with Human Resources; Make offers and coordinates pre-employment and new hire paperwork.
- Review resumes, conducts phone interviews, and coordinates in-person and video interviews
- Coordinate new hire training and employee onboarding.
Coaching and Supervising:
- Manage team performance, identify performance concerns, and coach team members toward improvement, including corrective action as needed
- Conduct annual performance reviews
- Foster and encourage individual employee growth and professional development via cross-training, continuous education, and advancement opportunities
- Recognize and develop individual talent
- Approve timecards, overtime, and time off requests
- Coordinate regular meetings and provide consistent team communication to include team and individual one-on-one meetings, written process updates, and maintenance of shared resources
Additional duties and responsibilities:
- Coordinate special projects at Senior Director’s request
- Maintain patient records and confidentiality
- Promote a positive image of Patient Services and the overall organization with all clinics, patients, visitors, co-workers, physicians, office personnel, and external parties
- Encourage team building with staff and demonstrates the Vivo culture
Qualifications:
- High school graduate or equivalent, required.
- Additional education or certifications applicable to the role, preferred.
- Minimum 5-7 years of related prior work experience required, preferably in a healthcare insurance and/or Patient Services/Patient Access roles
- 3 years of experience managing direct reports, preferably in a remote setting and within a healthcare setting.
- Minimal travel for transition and education purposes required
- Advanced knowledge of medical billing and/or infusion procedures including knowledge of medical insurance, accounting, HIPAA, Medicare/Medicaid, medical abbreviations, and terminology
- Passion for coaching and developing employees.
- Proficient (intermediate level) with all Microsoft Office Products
- Must possess outstanding communication and interpersonal skills, be able to communicate professionally and effectively with other employees, patients, vendors and physicians, and is fluent in written and spoken English
- Prior experience working with sensitive information and maintaining confidentiality, required.
