THE ROLE
We're hiring an Administrative Assistant to be the backbone of our sales operations. You'll be the first voice our clients hear, the person keeping our pipeline clean, and the one making sure nothing falls through the cracks. This is a high-ownership role perfect for someone who's organized, communicates well, and loves being in the middle of the action.
Responsibilities
- Answering and returning inbound leads quickly speed is everything
- Conducting outbound calls to realtors, brokers, and subcontractors
- Booking and confirming meetings in Google Calendar for the GM and GC
- Managing and updating leads in our CRM
- Following up on proposals, contracts, permits, and required documents
- Organizing project files in Google Drive
- Preparing weekly and monthly pipeline reports for the GM
- Supporting the team with general administrative and coordination tasks
- Other duties as assigned
WHAT WE'RE LOOKING FOR
- 1–3 years of experience in an administrative, sales support, or coordination role
- Excellent verbal and written communication skills in English and Spanish
- Comfortable making outbound calls and following up persistently
- Highly organized with strong attention to detail
- Experience with CRM software, Google Calendar, and Google Drive
- Able to work independently and manage multiple priorities at once
- Honest, accountable, and a team player we're a small, tight-knit team
- Construction or real estate industry background is an asset but not required
