Position Summary
The Window & Door Order Verification Specialist is responsible for ensuring the accuracy, completeness, and constructability of all replacement window and door projects prior to ordering and installation. This position serves as the critical link between Sales, Project Coordination, Installation, and Customers by performing detailed field measurements, confirming installation requirements, identifying potential project risks, and ensuring products are ordered correctly the first time.
The ideal candidate possesses extensive knowledge of residential window and door replacement, installation methods, building construction, trim and flashing details, and customer communication. Success in this role directly impacts customer satisfaction, operational efficiency, installation quality, and company profitability by minimizing reorders, delays, damages, and recoveries.
Key Responsibilities
Field Verification & Measurements
- Conduct on-site order verification appointments for residential replacement window and door projects.
- Perform accurate measurements for windows, entry doors, patio doors, specialty products, and custom applications.
- Verify all dimensions, opening conditions, and installation requirements prior to product ordering.
- Identify structural, code, or installation concerns that may impact project execution.
- Evaluate existing conditions including framing, siding, brick, stucco, trim, drywall returns, flooring transitions, and other jobsite variables.
Installation Planning
- Determine appropriate installation methods and materials required for each project.
- Verify trim requirements including:
- Brickmould
- Exterior casing
- Aluminum coil wrap
- Interior casing
- Jamb extensions
- Mullions and structural supports
- Confirm flashing, sealing, and water management requirements.
- Identify jobs requiring specialty equipment, staging, or additional labor resources.
Order Accuracy & Documentation
- Review sales contracts and proposals for accuracy and completeness.
- Verify product specifications including:
- Sizes
- Colors
- Grilles
- Hardware
- Glass options
- Tempered glass requirements
- Performance requirements
- Special manufacturing details
- Ensure all information is properly documented and uploaded into company systems.
- Maintain detailed project notes, photographs, sketches, and field documentation.
Customer Experience
- Serve as the primary technical representative during the verification process.
- Set realistic customer expectations regarding installation procedures, timelines, and project scope.
- Explain installation methods and answer customer questions.
- Identify and resolve concerns before products are ordered.
- Build confidence and trust with homeowners through professionalism and expertise.
Operational Support
- Collaborate closely with Sales Representatives, Project Coordinators, Project Managers, Purchasing, and Installation Teams.
- Participate in project reviews and problem-solving discussions.
- Assist in resolving field issues and technical questions.
- Provide recommendations for process improvements that reduce errors and improve operational efficiency.

Qualifications
Required Experience
- Minimum 5 years of experience in window and door replacement, installation, project management, order verification, or related construction field.
- Extensive knowledge of residential construction methods.
- Strong understanding of replacement window and door installation practices.
- Experience measuring and ordering custom window and door products.
Preferred Experience
- Previous Order Verification, Project Manager, Lead Installer, or Installation Manager experience.
- Experience with premium window and door products.
- Knowledge of residential building codes and permitting requirements.
- Experience with Salesforce, CRM systems, or project management software.
Technical Knowledge
Candidates should demonstrate proficiency in:
