Inventory Manager
Position Overview
The Inventory Manager is responsible for overseeing the dealership's vehicle inventory from acquisition through retail readiness. This position serves as the primary coordinator for inventory tracking, repair prioritization, parts procurement, auction arbitration, and inventory tax compliance. The Inventory Manager works closely with management, technicians, vendors, and auction representatives to ensure vehicles are processed efficiently, repairs are completed in a timely manner, and inventory is accurately tracked and maintained.
The ideal candidate is highly organized, detail-oriented, capable of managing multiple projects simultaneously, and able to make sound decisions regarding inventory priorities and resource allocation.
Key Responsibilities
Inventory Management
- Maintain accurate records of all dealership inventory and vehicle status.
- Track which vehicles are actively listed for sale and which vehicles are not yet market-ready.
- Monitor and document reasons vehicles are not listed for sale, including mechanical, body, cosmetic, or interior repair needs.
- Maintain records of known issues and outstanding repairs for vehicles currently offered for sale.
- Prioritize repairs and reconditioning efforts based on vehicle value, market demand, profitability, and inventory needs.
- Communicate regularly with management regarding inventory status, repair progress, and vehicle readiness.
Parts Procurement and Vendor Coordination
- Source, compare, and purchase parts, materials, and supplies needed for vehicle repairs and reconditioning.
- Work with technicians to ensure required parts are ordered promptly and accurately.
- Monitor parts deliveries and maintain organized records of purchases.
- Process returns, exchanges, and warranty claims for defective, incorrect, or unused parts.
- Develop and maintain relationships with vendors and suppliers to ensure timely service and competitive pricing.
Auction Arbitration Management
- Coordinate prompt post-purchase inspections of newly acquired inventory.
- Ensure technicians inspect incoming vehicles as quickly as possible to identify undisclosed issues.
- Initiate and manage arbitration claims with auctions when vehicles qualify for return or reimbursement.
- Follow up with auction representatives regarding claim status, inspections, and resolutions.
- Submit transportation invoices and supporting documentation to auctions when reimbursement is applicable.
- Track and document all arbitration activity and outcomes.
Administrative and Compliance Duties
- Prepare and submit monthly inventory tax reports in accordance with applicable regulations.
- Print, mail, and maintain records of inventory tax filings and payments.
- Submit required tax payments by established deadlines.
- Maintain organized records of shipping receipts, tracking numbers, tax filings, and supporting documentation.
Qualifications
- Strong organizational and time-management skills.
- Ability to prioritize multiple projects and deadlines simultaneously.
- Excellent attention to detail and recordkeeping abilities.
- Strong communication and follow-up skills.
- Basic understanding of vehicle mechanics and automotive repair processes preferred.
- Experience with automotive auctions, dealership operations, inventory management, or parts procurement preferred.
- Proficiency with computers, spreadsheets, email, and dealership management software.
- Ability to work independently and take ownership of assigned responsibilities.
Pay: $3,500.00 per month
