Position Summary
The Healthcare Staffing Operations Coordinator plays a vital role in managing daily staffing operations for travel healthcare professionals across healthcare facilities and employees. This position is responsible for coordinating schedules, supporting clinicians on assignment, resolving day-to-day staffing issues, and ensuring smooth communication between healthcare professionals, clients, and internal teams. In addition, the coordinator assists with onboarding processes, credential tracking, compliance requirements, and other operational tasks to help ensure seamless workforce management and exceptional client support.

Key Responsibilities
- Manage and maintain daily schedules for travel healthcare clinicians across multiple facilities and assignments
- Coordinate shift coverage, schedule changes, call-offs, extensions, and assignment updates
- Serve as a primary point of contact for clinicians and healthcare facilities regarding scheduling and operational concerns
- Respond quickly and professionally to staffing emergencies and last-minute coverage needs
- Troubleshoot and resolve assignment-related issues throughout the day, including attendance, housing concerns, credentialing updates, travel delays, and communication gaps
- Communicate staffing updates clearly with recruiters, account managers, healthcare facilities, and clinicians
- Monitor assignment compliance requirements and ensure clinicians remain assignment-ready
- Maintain accurate scheduling records and documentation within internal systems
- Assist with onboarding coordination, start-date confirmations, and assignment tracking
- Support operational workflows to improve efficiency, responsiveness, and overall client satisfaction
- Uphold company standards for professionalism, responsiveness, and quality service
- Assist with onboarding new healthcare professionals, including collecting required documentation, coordinating credentialing and compliance requirements, and ensuring a smooth transition into assignments.
Qualifications
- Previous experience in healthcare staffing, scheduling, workforce coordination, recruiting, customer service, or operations preferred
- Strong multitasking and problem-solving abilities
- Excellent verbal and written communication skills
- Ability to remain calm and professional in high-pressure situations
- Strong organizational and time-management skills
- Proficiency with scheduling systems, Quickbooks Workforce App and Google Workspace preferred
- Ability to work independently in a remote environment
- Detail-oriented with a strong sense of urgency and accountability

Compensation & Availability
- This position is compensated at a rate of $18–$21 per hour, based on experience.
- Weekly hours may fluctuate depending on staffing demands and operational needs but will be compensated for 32 hours per week.
- Candidates must consistently monitor email communications and remain available by phone during normal business hours.
- Due to the fast-paced nature of healthcare staffing operations, flexibility, responsiveness, and timely communication throughout the workday are essential.
- While this position does not consistently require after-hours or on-call availability, urgent matters must be communicated promptly to company owners or leadership when necessary.
Pay: $37,440.00 - $43,680.00 per year
