Position Summary
Certified ADAS is seeking a highly organized and detail-oriented Accounting, Payroll & Human Resources Specialist to support our growing organization. This position will be approximately 70% accounting, bookkeeping, and payroll and 30% human resources and administrative support. Certified ADAS is a growing automotive technology and service company providing mobile and in-shop ADAS calibrations, vehicle diagnostics, module programming, and related services to collision centers, dealerships, and automotive repair facilities across multiple markets.
The ideal candidate has a strong accounting background, hands-on payroll experience, working knowledge of human resources practices, advanced Excel skills, and experience using QuickBooks and ADP. Knowledge of California employment and payroll requirements is strongly preferred.
This individual will be responsible for preparing and processing payroll, maintaining accurate accounting records, creating reports and spreadsheets, supporting HR processes, and assisting with administrative and operational responsibilities. Management will review and audit payroll submissions for accuracy.
Accounting and Bookkeeping Responsibilities
- Perform day-to-day bookkeeping and general accounting duties
- Enter and maintain accurate financial information in QuickBooks
- Prepare and post journal entries
- Assist with accounts payable and accounts receivable
- Perform account and bank reconciliations
- Maintain general ledger records and supporting documentation
- Review financial information and identify discrepancies
- Assist with monthly accounting processes and financial reporting
- Organize invoices, receipts, payment records, and other financial documentation
- Create and maintain accounting spreadsheets, schedules, and reports
- Coordinate with management, the controller, and outside accounting professionals as needed
- Complete additional accounting and bookkeeping responsibilities as assigned
Payroll Responsibilities
- Independently prepare and process payroll through ADP
- Review employee timecards, hours, overtime, commissions, bonuses, reimbursements, deductions, and payroll changes
- Verify employee compensation and payroll information before submission
- Ensure payroll is processed accurately and submitted on time
- Prepare payroll reports for management review and audit
- Research and resolve payroll discrepancies
- Maintain payroll records and supporting documentation
- Process new hires, terminations, compensation changes, and other employee updates in ADP
- Assist employees with payroll-related questions
- Support payroll tax, deduction, and compliance-related processes
- Maintain confidentiality of employee compensation and payroll information
- Work with management to improve and document payroll procedures
Human Resources Responsibilities
- Schedule employee reviews, assessments, interviews, meetings, and other HR-related appointments
- Assist with employee onboarding and offboarding
- Maintain employee personnel files and required documentation
- Assist with the implementation and communication of company policies and procedures
- Support employee performance-review and assessment processes
- Assist with attendance, leave, timekeeping, and scheduling-related matters
- Prepare employee communications, forms, and HR documentation
- Help ensure employee records are accurate and current
- Assist management with employee relations and administrative follow-up
- Support compliance with applicable employment policies and requirements
- Handle confidential employee matters professionally and discreetly
Administrative and Operational Responsibilities
- Create spreadsheets, reports, trackers, and management summaries
- Assist with vehicle tracking, mileage reporting, vehicle assignments, and related documentation
- Schedule meetings and maintain follow-up items
- Organize company records and administrative documentation
- Support leadership with recurring administrative projects
- Assist with operational reporting and data management
- Perform additional duties and special projects as assigned
Required Qualifications
- Previous accounting, bookkeeping, or financial administration experience
- Previous payroll processing or payroll administration experience
- Working knowledge of human resources practices
- Experience using QuickBooks
- Experience using ADP or a similar payroll and HR system
- Advanced proficiency in Microsoft Excel
- Ability to create professional spreadsheets, trackers, and reports
- Strong attention to detail and commitment to accuracy
- Excellent organizational and time-management skills
- Ability to manage multiple deadlines and recurring responsibilities
- Strong written and verbal communication skills
- Ability to work independently and take ownership of assigned processes
- Ability to handle confidential employee and financial information
Preferred Qualifications
- Degree in Human Resources, Accounting, Finance, Business Administration, or a related field
- Human Resources degree or certification
- Strong accounting or bookkeeping background
- Knowledge of California employment and payroll requirements
- Experience processing multi-state payroll
- Experience supporting a growing or multi-location organization
- Experience creating accounting, payroll, HR, and operational reports

Pay: $71,000.00 - $80,000.00 per year
