Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, routing calls, and providing professional client support
- Coordinate calendars, schedule appointments, confirm meetings, and assist with managing staff and client availability
- Process client paperwork, account forms, and administrative documents while ensuring accuracy and timely completion
- Maintain organized digital and physical filing systems and ensure records are updated, accurate, and properly maintained
- Support day-to-day operational workflows, including tracking pending items, following up on documentation, and assisting with internal administrative processes
- Handle data entry, document preparation, scanning, and record management with strong attention to detail
- Assist with operational and office management tasks to support an efficient and productive work environment
- Communicate professionally with clients, vendors, and team members regarding scheduling, documentation, and general administrative support
- Proofread documents, correspondence, and forms for accuracy, completeness, and professionalism
- Maintain confidentiality and professionalism when handling sensitive client and business information
Requirements
- Previous experience in office administration, operations support, receptionist, client service, or administrative support roles preferred
- Strong organizational and multitasking skills with the ability to manage competing priorities in a fast-paced environment
- Excellent verbal and written communication skills with professional phone etiquette
- Experience coordinating calendars, scheduling appointments, and managing administrative workflows
- Strong attention to detail and ability to accurately process paperwork, maintain records, and follow operational procedures
- Proficiency with Microsoft Office Suite and general office technology
- Comfortable learning and navigating internal business systems, CRM platforms, and document management software
- Strong typing and data entry skills with a high level of accuracy
- Ability to work independently, stay organized, and proactively support operational needs across the office
- Ability to maintain professionalism, discretion, and confidentiality when handling sensitive information
- Reliable, proactive, and team-oriented with a strong willingness to support office and operational functions as needed
