Administrative Coordinator – Private Duty Home Care

We are a growing private duty home care company serving seniors and their families throughout the Greater Boston area. We are looking for a mature, dependable and highly organized Administrative Coordinator to become an important part of our office team.
This is not simply a clerical or data-entry position. We are looking for someone who takes ownership of their work, exercises good judgment, and can be trusted to work independently once they have learned our business and systems.
The right candidate may have previous experience in a professional office environment such as a law firm, medical office, financial services firm, insurance office, healthcare organization or other professional services business. Home care experience is helpful, but it is not required.
What You'll Do
The Administrative Coordinator will help keep the day-to-day operations of our office organized and running smoothly. Responsibilities will include:
- Providing administrative support to the management team
- Managing phone calls, emails, correspondence and routine office communications
- Preparing, organizing and maintaining documents, records and files
- Assisting with employee and caregiver paperwork and maintaining personnel records
- Helping ensure required documentation is complete, accurate and up to date
- Communicating professionally with caregivers, clients, families and referral partners
- Assisting with scheduling, meetings and follow-up items
- Tracking outstanding items and following through to completion without needing constant reminders
- Assisting with reports, spreadsheets and other administrative projects
- Working with confidential employee and client information with discretion
- Identifying administrative issues and helping solve them before they become problems
- Providing general support to the team as needs arise

- Comfortable working in a small-business environment where everyone pitches in when necessary
- Proficient with Microsoft Office, including Outlook, Word and Excel, and comfortable learning new software
Preferred Experience
- 3+ years of administrative or office experience preferred
- Experience working in a law office, healthcare setting, medical practice, insurance company, financial services firm or other professional office environment is a plus
- Prior home care or healthcare experience is helpful but not required
We are much more interested in finding someone with the right judgment, work ethic, professionalism and attitude than someone who already knows the home care industry.
