URGENT HIRING!!! We are seeking a proactive and detail-oriented Permit Coordinator/Office Manager to join our dynamic team. Previous experience working for a construction company and permitting REQUIRED. Quickbooks online experience required. This vital role combines permit coordination with office responsibilities, ensuring smooth operations and efficient handling of permits, documentation, purchasing, A/P, A/R and additional administrative tasks. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent organizational skills, and possess a positive attitude. Duties
- Manage and track permit applications, renewals, and approvals, ensuring compliance with all relevant regulations and deadlines
- Serve as the primary point of contact for permit agencies, contractors, and internal teams to facilitate communication and document exchange
- Maintain accurate records of permits, licenses, and related documentation using digital filing systems and data entry tools
- Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings
- Handle bookkeeping duties using QuickBooks to process invoices, payments, and expense reports
Skills
- Strong computer literacy with Google Workspace Skills and Microsoft Office
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Experience with office management and administrative support roles
- Knowledge of QuickBooks for A/P and A/R
- Permit coordination experience Required
- Customer service best practices for handling inquiries professionally
- Strong time management skills to balance multiple responsibilities efficiently while maintaining accuracy
