We are seeking an energetic, detail-oriented, and compassionate individual to join our team as our Receptionist & Administrative Assistant. The ideal candidate is someone who naturally creates a welcoming and professional experience—both in person and over the phone—while staying organized, proactive, and adaptable in a fast-paced environment.
This role serves as the first point of contact with our clients and plays a key part in supporting the day-to-day operations of the office. Responsibilities will grow as experience and expertise develop.
How You Will Make a Difference
Full-Time | 40 hours per week
Client Communication & Scheduling
- Serve as the primary point of contact for incoming calls and front desk interactions.
- Manage scheduling and calendar coordination for 5+ professionals.
- Make outbound calls to confirm appointments and follow up as needed.
- Prepare and send professional communications.
Database & Office Management
- Maintain and update the client database, including data entry, scanning, and file organization.
- Handle sensitive client information with a high level of confidentiality and care.
- Research and gather information from internal systems as needed.
Paperwork & Process Support
- Assist with preparation and processing of client paperwork.
- Coordinate with team members and clients to obtain outstanding requirements.
- Help ensure accuracy and completeness of documentation.
Team & Operational Support
- Prepare materials for client meetings and internal use.
- Run reports and provide administrative support to team members.
- Assist with special projects and contribute to improving systems and processes as the role evolves.
What We’re Looking For
- High school diploma required, additional education a plus.
- Prior customer service experience strongly preferred.
- Proficiency in Microsoft Word, Excel, and Outlook, with the ability to learn new systems.
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Professional, friendly phone presence and ability to build rapport.
- Self-motivated with a proactive, “see it and solve it” mindset.
- Ability to manage multiple tasks and priorities simultaneously.
- Willingness to learn industry-specific terminology.
- Ability to work both independently and as part of a collaborative team.
