Ready to Be the Heartbeat of a Thriving Law Firm?
Flagstaff Law Group · Historic Downtown Flagstaff, AZ · Full-Time, 8:00 AM–5:00 PM
$19+/hour, based on experience
Are you a master of first impressions, a meticulous organizer, and a proactive problem-solver who thrives on creating exceptional experiences? We're searching for that rare individual who can seamlessly blend warmth and precision, becoming the central pillar supporting our mission to empower families and businesses in Flagstaff. If you're ready to step into a role where your impact is felt daily, keeping our firm running smoothly and our clients feeling truly cared for, this is your opportunity.
About Flagstaff Law Group
At Flagstaff Law Group, we're not just drafting documents; we're building lasting relationships and guiding families through life's most significant decisions with clarity and confidence. As a modern, relational law firm operating under a holistic model, we prioritize proactive planning and a “wow” client experience that sets us apart. Our mission is to provide thoughtful guidance and excellent work, ensuring every client feels supported and cared for, not just during a client's initial matter, but through every chapter of life.
About This Role: Front Desk Receptionist
You will be the welcoming face and organized backbone of Flagstaff Law Group, ensuring our clients feel valued from their very first interaction. This isn't a passive desk job; it's a dynamic role where you'll orchestrate smooth client flow, provide essential administrative support to keep client files moving, and lend a hand with client communication and light outreach support as needed. You'll be the linchpin that allows our attorneys and client service team to focus on high-level legal work, knowing that the details are expertly handled.
What You'll Be Responsible For
- Creating a Welcoming Environment: You will open and close the office daily and be the first point of contact, warmly greeting clients, managing our reception area, and ensuring a polished, professional, and inviting office atmosphere.
- Orchestrating Client Flow: You will manage client check-ins and check-outs, process payments, schedule follow-up appointments, and ensure every client interaction is seamless and positive.
- Essential Administrative Support: You will keep client files and paperwork moving accurately and on time behind the scenes, treating every document with the discretion and care our clients' sensitive information deserves.
- Proactive Client Communication: You will assist with reminder calls, check-in calls for client items, and gather necessary information to keep cases moving forward.
- Supporting Firm Growth & Outreach: You will support our Development Coordinator with occasional outreach and follow-up efforts, or communication with prospective clients, as needed.
- Office & Supply Management: You will manage incoming and outgoing mail, packages, and office supplies, and support our attorneys and client services team with day-to-day administrative tasks.
Who This Is For
- You instinctively put clients first, anticipating their needs and going the extra mile to make them feel heard, valued, and understood. Your warmth and professionalism shine through every interaction.
- You thrive on structure, precision, and efficiency. You can juggle multiple priorities, manage deadlines, and ensure no detail is overlooked, even in a fast-paced environment.
- You don't wait to be told what to do; you see what needs to be done and take initiative. You're resourceful, bring solutions to the table, and are committed to continuous improvement.
- You are eager to learn, integrate feedback, and grow with a dynamic team. You understand that your role directly contributes to the firm's overall success and are committed to collective purpose.
- You're comfortable with various software systems and can quickly learn new tools to enhance efficiency and client service.
- You handle sensitive information with discretion.
Who This Isn't For
- If you're looking for a job where you do the bare minimum and leave precisely at 5 PM, this isn't the right fit. We need someone deeply invested in our mission and our clients.
- We are a highly collaborative team. If you prefer to work in isolation or struggle with clear communication and accountability, you won't thrive here.
- Our team members are proactive and supportive. If you're unwilling to roll up your sleeves and assist where needed to ensure client satisfaction and firm success, please do not apply.
- We foster a positive, respectful, and solution-oriented environment. If you bring negativity, gossip, or a lack of personal responsibility, you will not be a cultural fit.
