Position Overview
The Occupancy & Operations Coordinator is responsible for maximizing occupancy across all company properties while supporting day-to-day operational activities.
This role serves as the connection point between prospective residents, current residents, referral partners, maintenance personnel, vendors, and ownership.
This is not a traditional administrative position. We are seeking someone who takes ownership, follows through, builds relationships, solves problems, and gets results.
What You'll Do
Occupancy Management
- Maintain vacancy and occupancy tracking systems
- Advertise available rooms and apartments
- Respond to inquiries and schedule showings
- Follow up with prospective residents
- Process applications and supporting documentation
- Coordinate move-ins and onboarding
- Monitor occupancy trends and vacancy turnaround times
Community Outreach & Referral Development
- Build relationships with treatment centers and recovery programs
- Network with detox facilities, hospitals, probation offices, and community organizations
- Conduct outreach visits and maintain referral partnerships
- Maintain referral databases and contact records
- Track referral activity and outcomes
Operations Support
- Coordinate maintenance turns and unit readiness
- Assist with inspections and move-outs
- Maintain resident and tenant files
- Coordinate vendor scheduling
- Support operational improvement projects
- Assist ownership with special projects as needed
Reporting
Prepare weekly reports including:
- Occupancy rates
- Vacancies by property
- Leads generated
- Showings completed
- Applications received
- Move-ins completed
- Referral contacts made
Qualifications
Required
- Strong communication and interpersonal skills
- Excellent organizational abilities
- Self-motivated and able to work independently
- Comfortable making outbound calls and networking
- Strong attention to detail
- Reliable transportation and valid driver's license
- Proficiency with Microsoft Office and Google Workspace

Compensation
Base Pay
$22-$26 per hour, based on experience.
Performance Bonuses
- $50 for each recovery bed filled and occupied for 30 days
- $50 for each boarding room filled and occupied for 30 days
- Additional bonuses tied to occupancy goals and company performance

Within your first 90 days:
- Occupancy reporting systems are implemented
- Referral relationships are actively being developed
- Vacancy marketing is consistently maintained
- Recovery housing occupancy increases
- Boarding house vacancies decrease
- Vacancy turnaround times improve
