Job Summary
We are seeking a compassionate and detail-oriented Medical Receptionist / Medical Office Specialist to support the front desk operations of its Advanced Breast Surgery practice in Tinton Falls, NJ. This role is patient-facing and requires excellent communication, organization, and customer service skills, with a strong emphasis on empathy and patient-centered care in an oncology setting.
The Medical Receptionist will provide reception and clerical support to patients, visitors, physicians, and practice staff. Responsibilities include patient check-in/check-out, appointment scheduling, insurance verification, referrals, payment collection, medical records, and general administrative duties.
Key Responsibilities
- Greet patients and visitors promptly and courteously, creating a welcoming and supportive environment.
- Answer and direct telephone calls while maintaining confidentiality and adhering to HIPAA requirements.
- Assist patients with the check-in and check-out processes.
- Obtain and verify patient demographics, insurance information, and required documentation.
- Verify insurance eligibility and ensure appropriate referrals are obtained.
- Collect copayments and outstanding patient balances.
- Schedule follow-up and future appointments accurately and efficiently.
- Enter and maintain patient information in the electronic medical record (EMR) system.
- Support billing and financial processes, including payment posting, cash receipts, credit card batches, and daily deposits.
- Maintain accurate patient records and filing systems.
- Assemble, retrieve, and maintain new and existing patient charts according to established protocols.
- Monitor office supplies and equipment and communicate supply needs to the Practice Manager.
- Serve as a pre-loader for the EMR system.
- Promote a positive patient experience through professional, empathetic, and helpful interactions.
- Communicate patient concerns or satisfaction issues to management.
- Adapt to changing practice needs and provide cross-coverage when necessary.
- Travel to and float between practice locations within approximately 30 minutes of the employee's home when required.
- Perform other duties and projects as assigned.
Required Qualifications
- High school diploma or equivalent.
- Previous experience in a patient-facing environment.
- Experience with medical office check-in/check-out processes.
- Strong communication, organization, and interpersonal skills.
- Ability to learn quickly and adapt to changing patient and practice needs.
- Strong sense of accountability and teamwork.
- Excellent attention to detail and commitment to patient-focused service.
- Empathy and compassion, particularly when working with oncology patients and their caregivers.
- Ability and willingness to travel to various practice locations as needed.
- Proficiency in reading, writing, and speaking English.
Pay: $15.00 - $20.00 per hour
