Patient Check-in

Check in patients, verify demographic information, and enter all patient data accurately into the electronic medical record.

Support patients in filling out intake
- Verify insurance status and document appropriate billing information.

Assess ability to pay fee-for-service, collect fees per established policy, and assist patients with fee-for-service forms as needed.

Process billing forms and submit charges for payment.

Record all monetary transactions in receipt books and the tracking log, maintain the on-site cash balance, and reconcile cash payments at end of shift.

Keep the front desk stocked with forms and supplies, and update patients in the lobby on the status of their visit.

Communicate relevant information clearly to co-workers to support quality patient care.

Schedule walk-in and call-in patients for physician, nurse, or social work visits, determining need for new, continuity, or urgent care.

Document all scheduling and rescheduling details, including patient demographics and insurance status.

Call patients with appointment reminders as needed.

Phone Calls

Answer calls courteously, provide appropriate resources (clinic information, educational materials), transfer calls, and take and follow up on messages.

Check voicemail, maintain the telephone log, and document conversations as needed.

Conduct in-reach calls to previous and prospective patients to set up appointments

Insurance Verification
-
Verify patient insurance coverage through Emdeon and Medicaid online verification systems.
-
Assess Medicaid eligibility for allowable annual visits and associated co-payments, and review eligibility for Medicare, Medicaid, Take Charge, and other payers; schedule eligible patients to meet with a Social Worker.

Ensure Community Care referrals are in place before visits, and direct patients to the Community Care site to change primary care providers as appropriate.

Medical Records
-
Scan paper records into the electronic medical record (HIPAA compliance signatures, financial certifications, test results, outside medical records, and other patient information).

Respond to medical records requests promptly, and contact patients regarding release forms and document appropriately.

Retrieve and file charts maintained in the clinic.

Supplies and Organization
-
Clean and stock the patient waiting area.
-
Maintain patient files and databases.
-
Notify the supervisor of needed supplies in a timely manner.

Additional Duties as Needed

Cross-train with other support staff to assist with clinic efficiency, and show a willingness to learn new tasks.

Complete programs or projects relevant to personal academic needs and the clinic's mission.

Interpret and translate as appropriate
Previous experience working in a medical setting is a plus.
