New Jersey Brain and Spine is seeking a friendly, professional, and highly organized Patient Access Coordinator to join our team.
The Patient Access Coordinator serves as an important contact for patients reaching out to the practice by phone and through electronic communication platforms. This role involves assessing patient needs, connecting patients with the appropriate support, completing select patient-related and administrative tasks, and supporting various teams and workflows as needed to help create a smooth and efficient patient experience.

This is more than a traditional customer service position. You will be joining a department that continues to grow and evolve alongside the practice. As new technology, communication tools, and workflows are introduced, including ongoing enhancements to the eCW/healow Patient Portal, you will be expected to remain flexible, learn new processes, provide thoughtful feedback, and support department and practice-wide initiatives.
Responsibilities
- Answering a high volume of incoming calls with professionalism, empathy, and clarity.
- Assessing patient needs and directing inquiries to the appropriate team member, department, provider, or office location.
- Responding to patient messages and inquiries received through approved electronic communication platforms.
- Accurately documenting patient interactions in the electronic medical record and internal communication systems.
- Monitoring voicemails and completing timely follow-up to ensure patient inquiries are addressed.
- Escalating urgent, sensitive, or complex concerns to the appropriate staff member.
- Completing designated patient-related and administrative tasks from start to finish when appropriate.
- Maintaining current knowledge of provider schedules, office locations, team responsibilities, and internal workflows.
- Working collaboratively with clinical and administrative teams to support coordinated patient care.
- Providing coverage and assistance to internal teams based on operational needs.
- Maintaining patient confidentiality and complying with HIPAA and practice policies.
Qualifications
- Associate or bachelor’s degree preferred; high school diploma or equivalent required.
- Previous experience in a busy, multi-provider physician practice, healthcare call center, medical front desk, patient access, concierge, or customer service role required.
- Working knowledge of commercial insurance plans, Medicare, managed care, and physician network participation preferred.
- Excellent verbal communication and active listening skills.
- Calm and professional phone presence, especially during periods of high call volume.
- Strong organizational, multitasking, and time management skills.
- Highly proficient with technology and comfortable learning new software, improving workflows, and participating in organizational initiatives.
- Experience with electronic medical records, including eClinicalWorks (ECW), is a plus.
- Receptive to coaching and feedback, with the ability to ask thoughtful questions, apply training, and become increasingly independent over time.
- Team-oriented with a proactive, solution-focused mindset and a willingness to take appropriate ownership of tasks.
Schedule
Monday - Friday 8:00 am to 4:30 pm
