Union Painting Contractor - Accounting, Payroll & Compliance Administrator
Established commercial painting contractor located in Farmingdale, NY, is seeking an experienced professional to oversee accounting, payroll, union benefit reporting, certified payroll compliance, accounts payable and receivable, and general office operations. This is a key administrative position requiring a highly organized individual who can work independently.
Primary Responsibilities:
- Process weekly payroll for union and non-union employees.
- Maintain employee records and onboarding documentation.
- Enter and update employee information in various union benefit portals.
- Process and reconcile union benefit contributions
- Prepare and submit certified payroll reports.
- Ensure compliance with union collective bargaining agreements and prevailing wage requirements.
- Track benefit due dates and ensure timely submission of all required reports and payments.
- Manage accounts payable and accounts receivable.
- Prepare invoices, billing packages, change orders, and payment applications.
- Reconcile bank accounts, credit card statements, and company financial records.
- Assist with month-end and year-end financial reporting.
- Communicate with clients, vendors, union representatives, benefit funds, and government agencies.
- Maintain contractor licenses, insurance certificates, and compliance documentation.
- Prepare and process lien waivers, sworn statements, and project closeout documentation.
- Coordinate office operations and provide administrative support to management.
Required Skills and Experience:
- Strong knowledge of payroll processing.
- Experience working with union benefits and union reporting requirements.
- Knowledge of prevailing wages and certified payroll reporting.
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook).
- Ability to navigate multiple online union and compliance portals.
- Strong organizational skills and attention to detail.
- Excellent communication and problem-solving abilities.
- Ability to manage multiple deadlines and priorities simultaneously.
Preferred Qualifications:
- Notary Public certification.
- Construction industry experience.
- Experience with certified payroll and public works projects.
- Familiarity with accounts payable, accounts receivable, and general bookkeeping functions.
Important: This is not an entry-level bookkeeping position. Applicants must have direct experience with construction accounting, union payroll, union benefits reporting and certified payroll compliance. Candidates without relevant experience will not be considered.
Pay: $90,000.00 - $105,000.00 per year
