Bilingual Access to Care Coordinator

SUMMARY:
Under the supervision of the Community Programs Manager and Veterinary Practice Manager, the Access to Care Coordinator is responsible for assisting across multiple program areas; Community Services, Community Veterinary Clinic, and the Spay/Neuter Clinic. This role provides critical operational and administrative support to the Community Programs and Medical teams.

KEY RESPONSIBILITIES:
Community Services and Medical Programs:

Support Community Services and Medical programs by identifying pets in need of care and coordinating access to HSSC veterinary services and support resources for their owners in Sonoma County.

Provide day-to-day administrative and program support across departments.

Support scheduling, communications, reporting, and data-tracking.

Help maintain program materials and databases.

Serve as a communication liaison between departments, campuses, and community partners.

Assist the Community Services team with preparation, setup, and on-site support for offsite community events.

Helps maintain the pet food pantry and other extension services.

Creates and maintains relationships with local animal and human service organizations.

Provides information to the public about HSSC processes for Spay/Neuter and Community Veterinary Clinic.

Supports Spanish-speaking clients by providing a welcoming and professional environment.

Register clients on and off-site for HSSC services.

Respond to client calls, voicemail, and email messages in a timely manner.

Schedule appointments by phone and via online scheduling software.

Discount services as needed to meet clients’ ability to pay and manage subsidized spay/neuter program as available.

Support vaccine clinics on and offsite.

Work with intake team to facilitate admissions of accidental litters through the “Mama Fix” program.

Create and update program resources for various departments.

Participates in Community Programs and Medical departmental meetings on a regular basis.

Promotes positive relationships with the general public, volunteers, and staff while promoting the organization’s programs, policies, and philosophies.

Actively supports and promotes the mission and goals of HSSC to enhance the wellbeing of people and pets in our community.

Supports special projects, process improvements, and cross-department initiatives as organizational priorities shift.

Support clients with pet-related emergencies related to health or behavior of the animal with shelter diversion.

Maintain confidentiality and professionalism while handling sensitive situations or information.

Other duties as assigned.
LEADERSHIP AND STAFF SUPPORT:

Train volunteers who support pet food pantry, spay/neuter clinic, and community vet clinic.

MINIMUM QUALIFICATIONS:

Advanced customer service or working with diverse groups or underserved communities.

Bilingual in English/Spanish required.

Valid CA driver’s license.
KNOWLEDGE, SKILLS, AND ABILITIES:

Strong organizational skills with ability to manage multiple priorities and deadlines.

Comfort navigating change and working in fast-paced environments.

Excellent communication skills; clear, kind, and culturally aware.

Proficient in Microsoft Office Suite.

Ability to collaborate across teams in fast-paced environment.

Experience working with animals a plus.

Willingness to work flexible days and hours, weekends and/or holidays.

- Must be able to repetitively use hands to operate computers; flex the neck upward and downward; twist the neck and the waist.
- Occasionally will be in situations requiring high stamina, such as training days and special events.
WORK ENVIRONMENT:
This position generally works in a standard office environment, moderately quiet with periodic interruptions from staff, volunteers, and members of the public. Some exposure to moderate noise levels (such as barking dogs, ringing phones, lobby traffic). Potential exposure to the elements (sun, wind, rain) while working outdoors for offsite events.
