Position Overview
A UHNW family is seeking an experienced and highly organized Personal Assistant to oversee the day-to-day administrative and personal affairs of the household. This is a hybrid position, primarily working remotely while providing regular support from the family's home office in New York City and being available to assist on-site as needed for household projects, meetings, or emergencies.
The ideal candidate is proactive, detail-oriented, calm under pressure, and able to manage multiple priorities while maintaining the highest level of discretion. This role works directly with the principals and collaborates closely with the household staff and trusted advisors to ensure the family's personal affairs run smoothly.
Responsibilities
- Manage household bills, invoices, expense tracking, and credit card reconciliation
- Process charitable donations, gifts, and maintain records for the family's tax advisors
- Coordinate property tax payments and organize tax-related documentation
- Prepare monthly spending summaries and assist with budgeting
- Coordinate home, auto, and personal property insurance policies and claims
- Track medical expenses, submit insurance reimbursements, and maintain healthcare records
- Schedule medical appointments and organize required documentation
- Serve as the primary liaison with household staff, property managers, and vendors
- Coordinate maintenance projects across multiple residences
- Assist with domestic staff recruiting, onboarding, payroll coordination, and HR support
- Oversee household purchases, deliveries, and returns
- Coordinate personal and family travel, including itineraries, transportation, and special requests
- Track passports, Global Entry, driver's licenses, and travel documents
- Maintain family calendars, appointments, and school schedules
- Research and book restaurants, entertainment, tickets, and reservations
- Assist with event planning, invitations, and family correspondence
- Order household supplies and personal items
- Coordinate technology support when needed
- Handle special projects, proofreading, and other personal requests
Qualifications
- Minimum 3 + years of experience as a Personal Assistant supporting a private principal or UHNW family
- Bachelor's degree preferred
- Strong proficiency with Google Workspace, Microsoft Office, iCloud, and related technology
- Exceptional organizational, communication, and problem-solving skills
- Experience coordinating multiple residences and household staff preferred
- High level of discretion, professionalism, and emotional intelligence
- Ability to manage multiple priorities independently in a fast-paced environment
- Must reside in the New York City area
- Comfortable working in a hybrid environment with regular support from the family's NYC home office
- Available to provide on-site assistance for household matters, meetings, and emergencies as needed
- Flexible schedule with occasional evening and weekend availability
