Job Overview
FantAutistic Skills Training is seeking a proactive, organized, and detail-oriented Operations Assistant & Scheduler to support our growing clinical and administrative team. This role is essential in ensuring efficient scheduling operations, maintaining communication between families and staff, and assisting leadership with day-to-day administrative functions. The ideal candidate is highly organized, communicates professionally, enjoys problem-solving, and thrives in a fast-paced environment where priorities may shift throughout the day.

Responsibilities
- Coordinate daily schedules for clients and staff while maintaining accuracy and minimizing scheduling conflicts.
- Communicate professionally with families and staff regarding schedule changes, confirmations, cancellations, and general updates.
- Proactively contact families and team members to help ensure continuity of care and uninterrupted services.
- Assist with onboarding and provide support for company platforms including Slack, Rethink, and other operational systems.
- Organize, prioritize, and track operational tasks using Monday.com to ensure deadlines and workflows are completed efficiently.
- Maintain and update operational documents, reports, trackers, and spreadsheets using Microsoft Excel, Word, and Google Workspace.
- Provide administrative support to company leadership, including the CEO and Director of Operations, by assisting with projects and daily operational tasks.
- Help maintain organized administrative processes that align with company expectations, quality assurance standards, and compliance requirements.
- Perform general clerical and administrative duties as needed to support overall office operations.
Qualifications
- Previous experience in scheduling, administrative support, office coordination, or a similar operations role preferred.
- Strong organizational skills with the ability to multitask and prioritize competing responsibilities.
- Excellent written and verbal communication skills with a professional and customer-service-oriented demeanor.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and Google Workspace (Docs, Sheets, Drive).
- Experience with Monday.com, scheduling software, Slack, or similar project management platforms is preferred.
- Ability to quickly learn new software platforms and administrative systems.
- High attention to detail and ability to maintain accurate documentation.
- Ability to work independently while collaborating effectively with leadership and clinical staff.
- Experience handling confidential information with professionalism and discretion.
- Bilingual (English/Spanish) is a plus but not required.

Pay: $10.00 - $22.00 per hour
