Litigation Administrative Assistant
A prestigious national law firm is seeking an experienced Litigation Administrative Assistant to join its busy Civil Litigation team in West Palm Beach. The Opportunity
As a key member of the litigation support team, you will provide comprehensive administrative and clerical support to attorneys handling a broad range of civil litigation matters. You will play a vital role in ensuring efficient case management, meeting critical deadlines, and delivering exceptional service to both internal and external stakeholders.
Key Responsibilities

Draft, format, proofread, and revise legal documents, pleadings, discovery materials, contracts, and correspondence.

Manage electronic filings in Florida state and federal courts, including filings through Florida ePortal and CM/ECF.

Monitor court dockets, notices, and deadlines, ensuring timely and accurate docketing.

Maintain and organize electronic and physical case files.

Assist attorneys with all phases of litigation, including hearings, mediations, depositions, and trial preparation.

Prepare exhibits, binders, witness materials, and other case-related documentation.

Coordinate attorney calendars, meetings, hearings, depositions, and mediation schedules.

Process incoming and outgoing correspondence and support document production requests.

Serve as a professional point of contact for clients, courts, vendors, and internal teams.

Support administrative functions including billing, time entry, expense processing, conflict checks, new matter openings, and matter closures.
Candidate Profile
The successful candidate will possess:

Minimum 3 years of litigation support experience within a law firm environment.

Experience supporting civil litigation matters in both Florida state and federal courts.

Strong knowledge of court filing procedures, docket management, and litigation workflows.

Proven experience preparing and proofreading legal documents and court filings.

Excellent organizational skills with the ability to manage multiple priorities and deadlines.

Strong written and verbal communication skills.

Proficiency in Microsoft Word, Excel, and PowerPoint.

Familiarity with legal billing practices and client invoicing processes.
