Job Overview:
The Sales Assistant supports the Sales and Marketing team in promoting the mission of our non-profit retirement community by assisting with outreach, tours, administrative support, and customer service for prospective residents and their families. This role ensures a smooth and welcoming experience for all visitors and helps maintain accurate records to support the community’s occupancy goals.
Key Responsibilities:
- Prospective Resident Support
- Schedule and assist completing move-in paperwork with Resident and/or their Responsible Parties
- Complete in a timely manner on or preferably before move-in day
- Complete routine outreach to existing active leads to maintain engagement and further relationship building by phone calls, emails, and/or mail outs
- Send event invitations to active leads by phone call, email, or mail out
- Maintain a thorough knowledge of the community’s products & services to effectively represent the community to prospects and industry partners
- Assist in scheduling tours, presentations, and follow-up appointments as needed
- Serve as back-up to conduct community tours when appropriate, highlighting services, amenities, and mission
- Respond to phone calls, web forms, emails, and inquiries with professionalism and accuracy as needed
Administrative & Sales Support
- Create files for new and transferring residents
- Ensure all paperwork is complete and within state compliance
- Distribute required paperwork to appropriate care staff
- Update multiple software management programs (LifeLoop, PointClick Care, CRM) with new move-in data, transfers & move-outs
- Maintain accurate database of leads, prospects, and referral sources
- Prepare sales packets, brochures, follow-up correspondence and reassure all materials are in-stock
- Conduct regular file audits to ensure ongoing completion and compliance
- Perform Competitive Marketing Analysis phone calls and/or visits to compile data on pricing and services annually on local senior living competitors
- Manage the guest room calendar and process
- Assist Sales Team with Resident Ambassador Program as needed
- Assist Sales Team with move-in and move-out process as needed
Marketing & Outreach
- Assist with set-up and execution of community events, open houses, and educational seminars
- Follow-up with all event attendees to confirm attendance, receive feedback and schedule necessary next steps
- Ensure marketing materials are stocked, updated, and distributed
- Manage weekly In-Service calendar
- Schedule appointments for vendors
- Complete confirmation correspondence with vendors
Collaboration & Team Support
- Work closely with the Sales & Marketing Team to meet occupancy goals
- Provide general office support including filing, organizing, scheduling, and data entry
- Provide concierge coverage as needed
- Uphold the values and mission of the non-profit community in all interactions.
Qualifications:
- Previous experience in sales support, customer service, or administrative roles (senior living, healthcare, or non-profit experience preferred).
- Strong communication and interpersonal skills, with a warm and professional demeanor.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite and CRM systems.
- Ability to manage multiple priorities and deadlines.
