SUMMARY
The Client Services Coordinator’s primary responsibility is to oversee and support the organization, placement, tracking, and execution of print and digital advertising, ensuring accuracy and alignment with ad sales. This role also helps develop and execute client service strategies, provides timely and detailed reporting, and manages the end-to-end advertising services process for all Company print, digital, and event initiatives.
PRIMARY RESPONSIBILITIES
· Own day-to-day client services operations and advertising workflow
· Coordinate placement of all print and digital advertising, ensuring accuracy and timeliness
· Communicate with clients and agencies regarding materials, deadlines, and placements
· Partner with Production and Digital Media teams to ensure correct ad placement and campaign execution
· Identify and implement process improvements to increase efficiency and accuracy in ad services
· Ensure accurate and timely billing for all print, digital, and special advertising projects; support accounting as needed
· Coordinate special advertising initiatives and sponsorships with publisher and conference teams
· Maintain and update advertiser database and support data processing for promotions and audience development
· Manage CRM setup, updates, and reporting; provide timely and accurate sales data
· Train sales staff on systems, tools, and process updates
· Provide regular reporting on ad sales, campaigns, and special programs
· Serve as project manager for sponsored, native, and custom content programs
Perform additional duties as assigned.
QUALIFICATIONS
· Strong organizational and project management skills with the ability to manage multiple priorities and deadlines
· Experience coordinating print and digital advertising workflows or similar operations
· Excellent communication and client service skills, with the ability to work effectively with clients, agencies, and internal teams
· High attention to detail and accuracy in data management, scheduling, and ad placement
· Proficiency with CRM systems and ability to manage databases and reporting
· Working knowledge of digital advertising, email campaigns, and basic performance metrics
· Familiarity with print production processes and ad trafficking concepts
· Experience with Microsoft Office tools (Excel, Word, Outlook) and reporting tools
· Problem-solving mindset with the ability to identify process improvements and drive efficiency
· Ability to work in a fast-paced, deadline-driven environment
· Strong analytical skills with the ability to generate and interpret reports
· Team-oriented with the ability to train and support others on systems and processes
Physical Demands
This role is primarily performed in an office setting and requires frequent sitting, with occasional standing and walking. Regular use of a computer, telephone, and standard office equipment is required, along with the ability to communicate effectively. The position may involve occasional bending, reaching, or handling of files and supplies. Employees must be able to lift and move items up to approximately 25 pounds, with or without reasonable accommodation.
Work Environment
Work is performed in a professional office environment with moderate noise levels typical of business operations. Employees may occasionally enter print production areas where noise levels and moving equipment are present, provided they follow established safety procedures. The workspace is climate-controlled with standard lighting conditions. Work schedules are generally consistent with standard business hours, with occasional flexibility based on operational needs.
