We are seeking a highly organized, personable, and proactive Front Desk Receptionist / Client Care Concierge to join our growing team. This unique role combines traditional front desk and administrative responsibilities with patient engagement and lead management. The ideal candidate will serve as the first point of contact for both existing clients and prospective new clients, helping guide individuals from their initial inquiry through scheduling and intake.
Position Summary
As the Front Desk Receptionist & Client Care Concierge, you will play a critical role in creating a welcoming experience while helping prospective clients navigate the path to treatment. You will manage front office operations, coordinate scheduling, maintain accurate records in our EHR and CRM systems, and respond promptly to inbound inquiries from individuals seeking care.

Key ResponsibilitiesFront Desk & Administrative Operations
- Welcome clients and visitors with professionalism, warmth, and empathy
- Manage client check-in and check-out processes
- Coordinate scheduling, appointment confirmations, and rescheduling requests
- Answer incoming phone calls and respond to client inquiries
- Verify insurance benefits and assist with prior authorizations as needed
- Maintain accurate client records within the Electronic Health Records (EHR) system
- Support care coordination efforts between providers and clients
- Ensure the reception area remains organized, professional, and patient-friendly
- Assist with administrative projects and office operations as assigned
Client Care Concierge & Lead Management
- Serve as a primary point of contact for prospective clients contacting Elevium Health through phone calls, website inquiries, text messages, email, and other channels
- Respond promptly to inbound inquiries with empathy, professionalism, and urgency
- Educate prospective clients about available treatments, services, and next steps in the intake process
- Qualify and document new client inquiries within the Customer Relationship Management (CRM) platform
- Maintain accurate lead records, notes, and follow-up activities
- Guide prospective clients through the consultation and evaluation scheduling process
- Conduct timely follow-up outreach to prospective clients who have not yet scheduled or who need more information/nurturing.
- Collaborate closely with clinical and administrative teams to ensure a seamless intake experience
- Track lead progression through the client acquisition funnel and help optimize conversion rates
Clinical Support (as applicable)
- Assist with routine clinical support duties when needed and permitted by training and certification
- Collect basic patient information and vital signs
- Prepare treatment areas and support clinical workflow
QualificationsRequired
- High school diploma or equivalent
- 2+ years of experience in a medical front desk, patient services, healthcare administration, customer service, or similar role
- Strong verbal and written communication skills
- Exceptional interpersonal skills with the ability to build trust and rapport quickly
- Strong organizational skills and attention to detail
- Proficiency with computer systems, scheduling software, and Microsoft Office
- Ability to multitask
Preferred
- Experience in behavioral health, psychiatry, neurology, TMS, Spravato, ketamine therapy, or related specialty healthcare settings
- Experience working with CRM systems and lead management workflows
- Experience with EMR/EHR platforms
- Medical Assistant certification
- CPR certification (or willingness to obtain upon hire)
