Bright Steps Pediatric Therapy is seeking a warm, organized, and detail-oriented Scheduling & Intake Coordinator to join our growing pediatric therapy practice. This is a fast-paced front office position that plays a vital role in helping children and families access speech, feeding, and occupational therapy services.

Patient Intake
- Respond promptly to new patient inquiries by phone, email, website, and text
- Verify insurance benefits and explain financial responsibility to families
- Collect required documentation, including insurance cards, referrals, evaluations, and intake paperwork
- Schedule evaluations and guide families through the onboarding process
- Maintain accurate patient records in the electronic medical record (EMR)
Scheduling
- Schedule evaluations and ongoing therapy appointments
- Coordinate recurring therapy schedules based on therapist availability
- Manage cancellations, reschedules, and waitlists
- Communicate scheduling changes with families and clinicians
- Fill open appointment times to maximize therapist schedules
Insurance & Authorizations Support
- Verify insurance eligibility and benefits
- Obtain referrals and prior authorizations as needed
- Track authorization approvals and expiration dates
- Communicate insurance updates with families
Front Office & Family Support
- Answer incoming phone calls and emails professionally
- Provide exceptional customer service to families
- Maintain clear and timely communication with therapists
- Assist families with questions regarding appointments, attendance policies, billing, and paperwork
- Help ensure an outstanding experience from the first phone call through ongoing care
Qualifications
- Excellent written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- Friendly, professional, and compassionate customer service skills
- Strong computer proficiency and ability to learn new software quickly
- Experience working in a medical office preferred
- Experience with insurance verification and scheduling preferred
- Pediatric therapy experience is a plus
