Major Responsibilities
- Ensures program access to staff and parents by ensuring the site is opened and closed in a timely manner.
- Maintains files, schedules, confirms and cancels appointments.
- Plans, schedules and arranges parent meetings/training and program events including scheduling space, arranging for/serving refreshments, sending notices and receiving responses.
- Assists with program recruitment by responding to questions about program services from referral sources; connects prospective clients with appropriate staff members; refers callers to appropriate resources and other community agencies.
- Attends to program-related tasks outside of the office such as purchasing client snack, refreshments, activity supplies and other program-related errands
- Assists the Family Engagement Specialist with the management of the EHS donation center.
- Assists the Health and Nutrition Specialist with requesting medical records, including phone calls to clinics, fax authorizations and follow-up calls.
- Calculates the Homework activities and parent volunteer time to ensure accurate count of monthly parent generated in-kind.
- Enters In-kind homework and volunteer hours in the in-kind web-based system.
- Enters Client information into the program’s database system.
- Assists with childcare during parent training.
- Answers telephones in a timely, friendly fashion; screens calls; returns calls as directed with requested information; assists callers as able; takes accurate, complete messages; forwards calls to other staff members as appropriate.
- Acts as program receptionist, greeting families and visitors, offering refreshments when appropriate, and informing staff members of visitors’ arrivals; schedules, confirms and cancels appointments for others; maintains a tidy reception area.
- Prepares and types a variety of non-routine/complex correspondence, forms, reports and similar items using a personal computer and MS Word software; develops outreach and other promotional materials using desktop publishing types of software.
- Performs routine clerical duties such as copying, sorting, faxing and filing documents.
- Provides administrative support to the EHS Program Director.
- Oversees incoming and outgoing mail.
- Assists with childcare during parent training.
- Cross trains in other clerical duties and fills in for absent staff or overload work situations as necessary.
Secondary Project Responsibilities
- Ensures the center is appropriate and welcoming to all visitors.
- Models' appropriate communication techniques for staff and parents.
- Attends scheduled EHS management and team meetings as needed.
- Maintains confidentiality as required by the law and El Nido Family Center’s EHS policy.
- Performs other duties as assigned.
Skills/ Characteristics
- Must have a working knowledge of office and program management, administration, and facilities
- Must have effective oral and written communication skills in both English and Spanish.
- Must have good interpersonal skills, including the ability to work as part of a team.
- Must have good judgment skills and be able to prioritize multiple projects.
- Working knowledge and experience working in Early Head Start is highly desirable.
- Ability to manage multiple tasks simultaneously; detail oriented and have excellent organization and time management skills.
- Knowledge of ChildPlus preferred.
- Must be able to work with a low income, ethnically and culturally diverse population with multiple service needs.
- Ability to provide positive, friendly, and helpful services. Must have knowledge and /or experience with strength-based customer service delivery.
- Proficient in Microsoft Suite ( Word, Excel, Outlook, Powerpoint)
Experience/Education
- High School Diploma or its equivalent. Associate degree or formal training in general office/program management desired.
- Previous two or more years of experience in clerical and providing administrative support.
- Previous experience providing administrative services to low-income families and working with people of varied experiences and ethnic backgrounds.
- Bilingual in Spanish required
- Must possess a valid California driver's license, have use of a motor vehicle, and provide evidence of automobile liability insurance. Must meet State health requirements, including TB clearance. Fingerprints must be on file with the Justice Department.
- As a condition of employment, must pass a pre-employment Health Screening, including passing a physical examination, and verification of a T.B. clearance.
- Physical ability to bend, stoop, walk, reach overhead, push/pull, squat, twist, and turn. The employee may lift and/or move up to 20 pounds.
