Overview
We are seeking a professional, highly organized, and detail-oriented Front Desk Receptionist / Administrative Assistant to join our law firm. This position serves as a primary point of contact for clients, attorneys, courts, and other parties and plays an important role in keeping the office organized and running efficiently.
Because this role involves managing schedules, client communications, payments, mail, and important legal-related information, strong attention to detail and exceptional organizational skills are essential. The ideal candidate is dependable, thorough, comfortable managing multiple responsibilities at once, and able to keep track of details without letting things fall through the cracks.
Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet clients and visitors and assist with general front desk needs
- Communicate regularly with clients regarding appointments, scheduling, payments, and general administrative matters
- Take and process credit card payments over the phone accurately
- Schedule and coordinate appointments, meetings, court-related matters, and other calendar items
- Communicate with clients, courts, opposing counsel, attorneys, and other parties regarding scheduling
- Maintain accurate calendars and carefully track appointments, scheduling changes, and other important details
- Receive, sort, scan, and distribute incoming mail and correspondence to the appropriate team members
- Ensure documents and mail are accurately scanned, labeled, and routed to the correct client file or staff member
- Prepare and process outgoing mail as needed
- Scan and upload documents into the appropriate client files or internal systems
- Assist with general office organization and administrative support
- Monitor office supplies and place orders as needed
- Help maintain an organized, professional, and welcoming front office
- Provide additional administrative assistance to attorneys and staff as needed
Qualifications
- Exceptional organizational skills and strong attention to detail
- Ability to accurately manage multiple calendars, tasks, communications, and administrative responsibilities at the same time
- Strong follow-through and the ability to keep track of details in a fast-paced environment
- Strong communication and customer service skills
- Professional and comfortable communicating with clients by phone and in person
- Ability to multitask, prioritize, and adjust when schedules or priorities change
- Comfortable working with calendars, scheduling, email, and basic office software
- Ability to handle confidential and sensitive information professionally
- Dependable, punctual, and able to work effectively as part of a team
- Previous receptionist, administrative, customer service, or law office experience is preferred, but not required

This person will regularly handle scheduling, client communications, payments, mail, and documents, so they must be able to stay organized while managing frequent interruptions and multiple priorities throughout the day. Professionalism, discretion, patience, and strong communication skills are also essential.
Pay: $15.00 - $18.00 per hour
