POSITION PROFILE: Executive Assistant

JOB SUMMARY: Executive Assistant to the President is a highly visible, executive-level administrative role responsible for managing complex executive operations, communications, scheduling, travel, stakeholder engagement, meeting preparation, project requests and follow-up on behalf of the President.
This role requires exceptional judgment, confidentiality, executive presence, and the ability to anticipate needs in a fast-paced professional sports environment. The position regularly interacts with ownership, executive leadership, NFL representatives, business partners, community leaders, internal departments, and external stakeholders. The ideal candidate will operate with a high degree of independence, professionalism, and discretion, translating priorities into action while ensuring the President is prepared, informed, and positioned to lead effectively.
EXECUTIVE LEADERSHIP ACCOUNTABILITIES:
- Serve as the primary administrative partner to the President, managing daily executive operations and ensuring key priorities are executed with consistency and precision.
- Proactively manage an exceptionally complex calendar, balancing competing priorities, urgent needs, strategic meetings, league commitments, ownership matters, and external engagements.
- Anticipate scheduling conflicts, business needs, preparation requirements, and follow-up actions before they arise, resolving matters independently when appropriate.
- Prepare the President for meetings, presentations, speaking engagements, league events, community events, and public appearances by compiling agendas, briefing materials, background research, and relevant context.
- Manage incoming communications, correspondence, requests, and inquiries, applying sound judgment to prioritize, redirect, respond, or escalate as needed.
- Draft, edit, proofread, and format executive correspondence, talking points, presentations, reports, briefing notes, meeting summaries, and other communications on behalf of the President.
- Support the executive vice presidents with calendar, travel, and administrative needs as requested.
TRAVEL AND EXECUTIVE LOGISTICS:
- Coordinate complex domestic and international travel arrangements for both professional and personal trips, including flights, lodging, ground transportation, itineraries, meeting logistics, credentials, security considerations, and contingency plans.
- Manage travel and logistics associated with NFL meetings, league events, ownership meetings, conferences, community events, stadium events, playoff activities, and special organizational functions.
- Prepare comprehensive travel and event packet itineraries, including schedules, contacts, reservations, briefing materials, attire, and support documents.
- Coordinate executive hospitality at club events, stadium events, league functions, sponsor events, and community engagements.
- Provide on-site or remote logistical support as needed during major events, training camp, games, postseason activities, and other high-priority organizational moments.

QUALIFICATIONS:
- Bachelor’s degree in Business Administration, Communications, Management, or related field preferred; equivalent education and relevant experience will be considered.
- 7 to 10 years of progressively responsible executive support experience with C-suite, President, CEO, ownership-level, or similarly senior leaders.
- Experience managing complex calendars, executive travel, meetings, confidential communications, and senior-level materials.
- Advanced proficiency with Microsoft Outlook, Teams, Word, PowerPoint, Excel, OneDrive, SharePoint, and related productivity tools.
- Excellent written, verbal, editing, proofreading, and interpersonal communication skills.
- Sound judgment, discretion, and ability to operate independently in a fast-paced, high-profile environment.
- Strong organization, prioritization, project management, and follow-through skills.
- Ability to work nontraditional hours and travel as business needs require.
