JOB SUMMARY:
The Legislative and Political Action Department is the office responsible for
implementing and monitoring the legislative and political action policies,
procedures and objectives of the Civil Service Employees Political Action Fund.
Under the direct supervision of the Director of Legislative & Political Action, the
Executive Assistant is responsible to provide a variety of supervisory,
administrative, and organizational roles to help ensure the compliance and delivery
of policies and procedures for the Civil Service Employees Political Action Fund.
ESSENTIAL JOB FUNCTIONS:
Supervisory Functions:
- Oversees the daily operations of the office.
- Supervises and delegates work, as appropriate, to support staff.
- Performs Human Resource functions for Fund employees to include: staff
appointment letters, incoming employee paperwork and manage the Time &
Attendance documentation for all staff.
- Reviews and sorts mail, matches appropriate correspondence and prepares
replies.
- Transmits communications from Director to appropriate staff, officers and
membership
Administrative Functions:
- Assists Director, Lobbyist and Coordinators with letters, memos and all
printed material for department.
- Assists Coordinators with election materials by working with the
Communications department and Print Shop on development, printing and
mailing.
- Maintains database of all printed material for elections to include cost.
- Prepares lobby reports on a quarterly and semi-annual basis for both CSEA
and CSE-PAF.
- Establishes and updates a database of PAF approved contributions and
tracks all contributions made.
- Prepares all NYS Board of Election and Federal Election Commission
regulatory filings.
- Assists with all aspects of the Statewide Legislative & Political Action
Committee meetings, taking minutes and preparation of reports.
- Maintains database of Region Political Action Committees.
Organizational:
- Responsible for the Accounts Payable functions, including: maintain and
update suppliers, audit invoices and vouchers for accuracy, scan all invoices,
vouchers and backup materials, enter and code all invoices and vouchers in
accounting software.
- Coordinate required travel for all staff.
- Coordinate the scheduling of staff meetings, member meetings and
conferences to include location, meals and hotel reservations as needed.
- Oversees building maintenance and security system.
- Other duties as assigned.
MINIMUM QUALIFICATIONS
High School Diploma or equivalency and four years progressively responsible
secretarial office experience
OR
Associates Degree in Secretarial Science or an equivalent certificate from a
recognized business school and two years of general office experience.
OR
A combination of education, training and experience satisfactory to CSE-PAF.
