General Description of the position: The Receptionist performs those tasks needed to manage the front office, greeting people, answering telephones, giving appropriate information and assisting the Business Office Manager with office responsibilities.
Essential functions:
- Welcoming guests/ Families and answering phone calls in a timely manner.
- Take and deliver phone messages when voice mail is not an option.
- Maintain constant awareness of traffic in and out of the community, screen visitors and refer to appropriate staff or resident.
- Typing communications to assist the Executive Director / Business Office Manager
- Receiving rents and other income monies. Creating new administration files.
- Keep resident files current and in order.
- Keeping information updated and communicated in all spread sheets.
- Assisting the Business Office Manager with special projects and/or assignments
- Assist Team Leaders as necessary.
- Sort and distribute mail.
- Route special deliveries to designated areas.
- Write and post maintenance requests.
- Maintain current resident and staff telephone numbers.
- Enter resident Admission Information on appropriate sheet located on the front desk computer. Update as necessary.
- Update family and resident addresses, phone numbers and emails.
- Prepare mailing labels.
- Prepare brochures and new move-in packets for the Marketing department.
- Assist prospective residents by offering beverages and snacks before the Marketing Director can meet with them.
- Assist all departments on an as needed and as necessary basis.
- Maintain a neat and professional appearance.
- Maintain a neat and organized work space.
- Other duties as assigned.
Knowledge, skills and abilities required:
Must have excellent communication skills both written and verbal, with Residents, their families, staff, Executive Director, Management Company and/or Owners. Prefer previous work with the elderly, or in a business situation.
