RCS Staffing has an immediate need for an Operations Support Specialist II in Fort Mill, South Carolina. This is a full-time contract-to-permanent hire, office-based assignment with our client.
Overview of YOUR Role as an Operations Support Specialist II
This position provides a wide range of operational support activities for the regional and local office organization within a leading engineering firm. The incumbent will support client interaction, time and expense processing, and invoice preparation — while also serving as a key point of contact for internal and external clients and contributing to process improvement initiatives. This role is critical to ensuring day-to-day office operations remain organized and functional. Strong organizational and communication skills are essential to success in this position.
As an Operations Support Specialist II, YOU Will:
- Support the time and expense entry process to meet corporate deadlines; review reports for accuracy and completeness and run summary reports for management approval.
- Prepare client invoices with all required supporting documentation for management review.
- Maintain records, files, and databases of projects and operational data; develop reports, charts, and graphs as required.
- Maintain current operational knowledge and documentation, including business procedures and operational workflows.
- Coordinate materials for meetings, training sessions, and other organizational activities; participate in meetings with team members, stakeholders, and support personnel to ensure alignment on priorities.
- Respond to customer and employee inquiries, providing timely and professional assistance, and serve as a liaison between business and support teams to resolve operational issues.
- Support accounts receivable and accounts payable processes.
- Coordinate with building management/landlord on invoices, facility service requests, emergency evacuation plans, and related items.
- Research products and services as required for the office.
- Assist project managers (PMs) with design documents — ensuring materials are printed, folded, and distributed correctly.
- Handle outgoing mail and shipping logistics.
- Organize and maintain breakrooms and office common areas.
- Analyze business processes and identify opportunities for improved efficiency, accuracy, and reliability; monitor operational processes and recommend improvements.
- Facilitate data capture, tracking, and reporting to support business operations and process improvement initiatives.
- Assist with preparing presentations, reports, and documentation related to operational projects and business initiatives.
- Coordinate with internal departments to ensure timely completion of projects, tasks, and support requests.
- Participate in testing of system enhancements, process improvements, and new operational initiatives.
- Provide guidance and on-the-job training to Operations Support Specialist I team members.
- Perform other duties as assigned by management.
YOU Are the Ideal Candidate If You Have:
- 1–3 years of experience in an Operations Support Specialist I role or comparable administrative/operations position.
- High school diploma or GED (required).
- Proficiency in Microsoft Office Suite, including Excel (VLOOKUP skills strongly preferred), Outlook, and Teams.
- Experience in the engineering, utility, or a related technical industry.
- Strong organizational and planning skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills — you sound polished and professional on the phone.
- Strong problem-solving and analytical skills with a sharp attention to detail.
- The ability to work independently, follow through on assignments, and thrive in a fast-paced, ambiguous environment.
- Demonstrated ability to work well with strong personalities; you are coachable, humble, and confident
- A customer-service orientation with a team player mindset and a high degree of personal credibility and professionalism.
- Availability Monday–Friday, 8:00 AM – 5:00 PM (with a preference for arriving a few minutes early).
It's a BONUS If You Have:
- Associate's degree (AA) or equivalent from a two-year college or technical school.
- Paralegal or professional licensure/permitting experience.
- Experience supporting engineering project managers or working in a corporate engineering environment.
- Familiarity with Adobe Acrobat and Microsoft Access or PowerPoint.
