PARALEGAL/LEGAL ASSISTANT
We are a law firm that's been in downtown Poulsbo 40+ years, and we're looking for a responsible part or full-time Legal Assistant or Paralegal to be the face of our firm (in person, on the phone, via email) and to do all the little things that keep a small business running.
Tolman & Grossman is located near Submarine Base Bangor and NUWC Keyport in the heart of historic downtown Poulsbo, focused on Estate Planning (Wills, Trusts, Powers of Attorney, Special Needs Trusts), Probate, and Real Estate transactions.
This could be a part-time or full-time position with opportunities for career growth. Duties of the position include providing support to our attorneys, coordinating with our paralegal and legal assistant team, assisting in daily office needs, and managing our firm's general administrative activities.
The ideal candidate should be a nice person, have excellent oral and written communication skills, and be able to organize their work using tools like MS Word, MS Outlook, and MS Excel. If you have previous experience as a Paralegal, Legal Secretary or Executive administrative assistant and familiarity with law firms, we’d like to meet you. Prior experience in Estate Planning, Probate, or Real Estate is preferred.
Responsibilities
- Answer and direct phone calls
- Greet clients and coordinate the day-to-day schedule
- Provide general support to clients over the phone and via email
- Organize and schedule appointment calendars
- Print, organize, and prepare legal documents for client meetings
- File court documents
- Manage client files and direct case management
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Work with landlord, utility companies (phone, internet), cleaners, IT consultants to keep the office running and in good repair
- Maintain client contact lists
- Organize office and client expenses
Skills
- People skills--positive attitude and willingness to be a team player
- Proven experience as a paralegal, legal assistant, administrative assistant or office manager
- Ability to maintain to strict client confidentiality and trust
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and computers
- Proficiency in MS Office (MS Word/Outlook)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High school degree; additional qualification as an administrative assistant or legal secretary a plus
- Paralegal or legal assistant courses or training a plus
- Notary Public commission a plus
Pay: $18.00 - $24.00 per hour, dependent on experience
