Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! Duties
- Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
- Handle data entry with precision across spreadsheets and database systems to ensure accuracy and organization
- Maintain organized filing systems for financial documents, client records, and office supplies
- Answer multi-line phone systems promptly and professionally, providing excellent customer support and client communication
- Assist with calendar management, appointment scheduling, and front desk duties to ensure efficient office operations
- Support office management tasks such as ordering supplies, maintaining office equipment, and coordinating mailings
- Proofread documents, correspondence, and reports for clarity, accuracy, and professionalism
- Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports, correspondence, and presentations
- Provide general clerical support including photocopying, faxing, filing, and data entry to streamline daily workflows
- Offer bilingual support when needed to serve diverse clients effectively
Experience
- Prior experience in office management or administrative roles with a focus on customer service or front desk responsibilities
- Demonstrated proficiency with QuickBooks or other accounting software for bookkeeping tasks
- Strong computer literacy across productivity software such as Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data management tools
- Experience handling multi-line phone systems with professional phone etiquette
- Knowledge of clerical procedures including filing systems, proofreading, and document organization
- Background in medical or dental reception is a plus but not required; experience in personal assistant roles is also valued
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to enhance client communication and team collaboration
