Intake Support Specialist
Overview
The Butler County Domestic Relations Court is seeking applicants for a full-time Intake Support Specialist.
Distinguished Job Characteristics
The Intake Support Specialist provides clerical support for hearing officers and deals directly with the public to provide general procedural information concerning domestic relations cases and cases related to domestic violence civil protection order petitions. Additionally, the staff member will be responsible to collect previously approved documents being submitted to Case Management and obtain signatures on court documents as directed by hearing officers and direct supervisor.
Essential Duties and Responsibilities

- Maintains confidentiality of sensitive information pertaining to the position.
- Works as a strong team member with other court staff.
Primary Responsibilities
These duties as outlined are not to be construed as exclusive or all-inclusive as other duties may be required and assigned.
- Greets all members of the public and answers questions from same.
- Answers the telephone and directs telephone calls based upon nature of the call
- Informing Hearing Support Specialists and Hearing Support Supervisor when a member of the public is requesting a domestic violence civil protection order.
- Checks in attorneys and litigants.
- Prepares the magistrates’ courtrooms for the daily docket by gathering case cards and other information relevant to the cases on the dockets.
- Listens to the digital recording system for each magistrate at the beginning of each day to ensure the system is functioning properly and reports any issues to the supervisors immediately.
- Reviews return of service results for domestic violence cases and updates the case card with such information.
- Obtains signatures from attorneys and litigants on entries as directed by the hearing officers or direct supervisors and makes sufficient copies of same for distribution to those entitled to copies.
- Reviews magistrates’ prior day’s docket sheets, files and entries to ensure that all necessary entries are provided. After review of same, provides such to Case Management for processing.
- Secures the courtroom and office doors prior to lunch and at the end of the day.
- Reviews jail rosters for litigants who need to be transported for the next day’s docket and makes arrangements for same according to written procedure.
- Posts the next day’s docket sheets outside the courtroom entry doors at the end of the day.
- Contacts the Security Control Room manned by the Butler County Sheriff’s staff for security assistance when needed.
- Maintains a safe work place for employees and the public in general.
- Responsible for the orderly evacuation of the public and staff for severe weather or emergency purposes per emergency response protocol (CERT).
- Keeps work area clean and neat.
Qualifications and Requirements
An appropriate combination of education, training, course work and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is: a legal or customer service background and one (1) year practical work experience in a court, legal setting and customer service.
Preferred Qualifications: A minimum of a high school diploma and five (5) years practical work experience in a customer service, criminal justice, or legal setting is preferred.

This is a non-exempt unclassified position that reports to a supervisor and Court Administrator. Employees serving in this position are “at will” employees. The normal work hours are 8:30 a.m. to 4:30 p.m. with an unpaid lunch hour. A benefits package is offered, including medical, dental, vision, retirement plan, life insurance, deferred compensation and leave time. The starting pay for this position is $37,211.20 annually.
