Experienced Business Office Manager
We are seeking an experienced Manager to run our business front office operations and lead our Client Care team.
Bixby Animal Hospital & Urgent Care is a state-of-the-art animal hospital and urgent care. This is the 4th location of a private practice that has been a part of the South Bay community since 2005.
As a committed private practice hospital, we pride ourselves on providing excellent customer service to our clients and exceptional medical care to our patients.
Previous experience in the veterinary field is not required. Our ideal candidate will have 2-5 years of experience managing high-volume financial transactions and reconciliations in a customer service-oriented industry. Demonstrated excellence in understanding and satisfying customer needs is a priority for this position.
The Business Front Office Manager is a leadership position. Working hand-in-hand with the Practice Manager, you will lead the Client Care team and model the highest level of customer service in your interactions with our Clients. Our Client Care team is the face of the hospital and the first experience a client will have with our practice. The Client Care representatives, together with the technical staff, are responsible for coordinating smooth and efficient patient and client flow through the hospital. In addition to providing the best customer service, Client Care representatives perform a wide range of administrative tasks for the clinic.
Applicants must thrive in a challenging, fast-paced environment and be able to remain calm under pressure. Ability to prioritize is key in this position. A positive, can-do attitude towards clients and co-workers is a must.
Experience in an electronic records management (EMR) environment is a huge plus.
We are looking for leaders with the desire and ability to mentor and develop staff, design and implement more efficient procedures and processes, and exceed client expectations.
We welcome applicants that have strong customer service backgrounds, especially those with restaurant and hospitality experience.
Veterinary hospital managers, RVTs with accounting experience, and those who are working towards their CVPM certification are encouraged to apply.
Skills and Qualifications
- Financial, accounting, or business operations experience

- Demonstrated team building experience
- Minimum 2 years of supervisory or managerial experience
- Ability to occasionally lift up to 25 pounds; ability to sit or stand for long periods of time.
- Intermediate to expert knowledge of Ezyvet software or similar practice software is desired but not required.
Job Responsibilities
- Responsible for the day-to-day efficient operation of the front office, following all hospital policies, procedures and protocols
- Ensure the financial transactions of the hospital are completed timely, accurately, and efficiently.
- Ability to identify the urgency of client/patient needs and recommend urgent care vs. scheduled appointments
- Provide excellent customer service at all times
- Assist the Practice Manager with day-to-day operations
- Manage the client care team, including training, coaching, developing, and mentoring
- In conjunction with the Practice Manager, perform employee evaluations and carry out disciplinary actions for the Client Care team.
- Act as a liaison between front office and other department supervisors.
- Resolve client complaints, and report these issues to the Practice Manager.
- Identify and provide recommendations and solutions for potential problems, non-routine situations, work-flow processes, and client care needs to the Practice Manager.
- Make decisions on behalf of the department that are in the best interest of the clinic, clients, and patients.
This is a full-time position with a 4/10 schedule. We are open 7 days a week, and one weekend day per week is required.
