ABOUT THE JOB
Miami Behavior Institute (MBI) is seeking an experienced Authorizations Coordinator / Case Manager to oversee the administrative management of our ABA client caseload. This is a highly organized, detail-oriented position responsible for ensuring clients remain authorized for services, coordinating with insurance companies, monitoring utilization, and supporting the revenue cycle.
This is an excellent opportunity for someone who enjoys taking ownership of their work, solving problems independently, and ensuring that clients receive uninterrupted services through proactive authorization management.
ABA billing experience
KEY RESPONSIBILITIES
- Manage a caseload of ABA clients from an administrative perspective.
- Monitor authorization expiration dates and proactively request renewals to prevent service interruptions.
- Prepare and submit authorization requests, extensions, and supporting documentation to insurance companies.
- Track authorization status and maintain accurate records within our systems.
- Communicate with BCBAs, families, insurance representatives, and internal staff regarding authorization requirements and updates.
- Monitor authorized versus utilized units and identify discrepancies before they become issues.
- Verify insurance eligibility and benefits as needed.
- Assist with claim corrections, denials, billing questions, and revenue cycle support when necessary.
- Work within multiple insurance portals to obtain authorizations and resolve administrative issues.
- Maintain organized documentation while ensuring compliance with payer requirements.
- Collaborate with the billing department to minimize payment delays and maximize clean claim submission.
- Identify workflow improvements that increase efficiency and reduce authorization turnaround times.
QUALIFICATIONS
Required
- Experience obtaining and managing authorizations for ABA services.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities while meeting strict deadlines.
- Ability to work independently with minimal supervision.
- Strong computer proficiency and comfort learning multiple software systems.
Preferred
- Experience with ABA medical billing or revenue cycle management.
- Experience with Office Puzzle and/or ABA Matrix.
- Familiarity with Medicaid and commercial insurance authorization processes.
- Experience working with Availity, payer portals, and electronic medical records.
- Understanding of CPT codes commonly used in ABA (97151, 97153, 97155, 97156, etc.).
- Experience appealing denials, correcting authorization issues, or resolving claim-related discrepancies.
