Maintenance Supervisor

Job Summary
The Maintenance Supervisor is responsible for overseeing the day-to-day maintenance operations of the community while leading the Maintenance Technicians, Cleaning Team, and Groundskeeper to ensure the property remains safe, clean, functional, and visually appealing.
This position combines hands-on maintenance expertise with leadership, planning, scheduling, quality control, and team development.
The Maintenance Supervisor is responsible for ensuring all work orders, preventive maintenance, apartment turns, grounds, and common areas are completed efficiently while maintaining high standards of customer service and property appearance.
Essential Duties & Responsibilities
Leadership & Team Management
- Supervise, train, coach, and develop Maintenance Technicians, Cleaning Staff, and Groundskeeper.
- Conduct daily team huddles to review priorities, safety concerns, and scheduled work.
- Assign daily work orders and projects based on urgency and team workload.
- Monitor productivity and quality of completed work.
- Provide ongoing coaching and performance feedback.
- Participate in interviewing, onboarding, and training new maintenance employees.
- Maintain accountability for attendance, professionalism, uniforms, and customer service standards.
- Assist the Property Manager with performance evaluations and disciplinary documentation when necessary.
Property Maintenance Operations
- Oversee all maintenance requests from start to completion.
- Ensure resident service requests are completed promptly and professionally.
- Perform advanced maintenance repairs when needed, including plumbing, electrical, HVAC, carpentry, drywall, painting, appliance repair, and general building maintenance.
- Maintain all common areas, amenities, mechanical rooms, and exterior facilities.
- Coordinate emergency maintenance response and participate in the on-call rotation.
- Ensure all vacant apartments are completed according to company make-ready standards and leasing schedules.
- Perform quality inspections before units are released for move-in.
Cleaning & Housekeeping Oversight
Supervise the Cleaning Team responsible for:
- Clubhouse
- Leasing office
- Fitness center
- Hallways
- Breezeways
- Elevators
- Laundry facilities
- Public restrooms
- Amenity areas
- Vacant units
Additional responsibilities:
- Develop cleaning schedules and ensure daily completion.
- Perform quality inspections of all cleaned areas.
- Ensure cleaning supplies are stocked and properly stored.
Grounds & Exterior Management
Supervise the Groundskeeper in maintaining:
- Landscaping
- Trash removal
- Sidewalks
- Parking lots
- Pet stations
- Pool areas
- Exterior lighting
- Irrigation concerns
- Seasonal property appearance
Additional responsibilities:
- Conduct daily property walks.
- Identify and address safety hazards immediately.
- Ensure curb appeal exceeds company expectations.
Preventive Maintenance
- Develop and maintain preventive maintenance schedules.
Schedule inspections of:
- HVAC systems
- Water heaters
- Plumbing systems
- Electrical systems
- Fire safety equipment
- Elevators (vendor coordination)
- Roofing
- Pool equipment
- Building exteriors
Additional responsibilities:
- Track recurring maintenance issues and recommend long-term solutions.
Vendor & Contractor Management
- Coordinate outside vendors and contractors.
- Obtain estimates when requested.
- Verify work is completed according to contract specifications.
- Ensure vendors follow community safety requirements.
- Report project progress to the Property Manager.
Inventory & Budget Management
- Maintain inventory of tools, equipment, and maintenance supplies.
- Order supplies within approved budgets.
- Track maintenance expenses.
- Prevent unnecessary waste and loss of materials.
- Ensure proper storage of hazardous materials.
Safety & Compliance
- Ensure OSHA safety standards are followed.
- Conduct regular safety inspections.
- Maintain MSDS/SDS documentation.
- Ensure proper use of PPE by all maintenance staff.
- Maintain compliance with Fair Housing regulations.
- Ensure emergency procedures are understood by the maintenance team.
Resident Relations
- Provide exceptional customer service.
- Communicate professionally with residents regarding maintenance issues.
- Resolve resident concerns promptly.
- Maintain a positive, solutions-focused attitude.
- Assist with resident events when requested.
Administrative Responsibilities
- Monitor completion of work orders.
- Maintain accurate maintenance records.
- Submit supply requests.
- Track apartment turns.
- Coordinate with the leasing team on upcoming move-ins.
- Assist with annual inspections.
- Prepare reports requested by management.
- Ensure maintenance documentation is complete and accurate.
Physical Requirements
- Frequently lift, carry, push, or pull up to 75 pounds.
- Climb ladders and stairs.
- Stand, bend, kneel, squat, and crawl for extended periods.
- Work indoors and outdoors in varying weather conditions.
- Safely operate maintenance equipment and power tools.
- Respond to emergency situations outside of normal business hours.
Minimum Qualifications
Required
- High School Diploma or GED.
- 5+ years of apartment maintenance experience.
- 2+ years of supervisory or team leadership experience.
- Strong knowledge of HVAC, plumbing, electrical, drywall, appliance repair, and carpentry.
- EPA Certification required.
- CPO Certification highly preferred.
- Bilingual (English/Spanish) highly preferred.
- Valid Driver's License.
- Reliable transportation.

Experience:
- apartment maintenance: 5 years (Required)
- supervisory or maintenance team leadership: 3 years (Required)
