Job Summary
We are a growing manufacturing company with approximately $52 million in annual revenue serving customers across the United States. We operate in multiple states and are seeking an experienced Accounting Manager who can take ownership of day-to-day accounting operations while leading our tax and compliance efforts.
The Accounting, Payroll & Compliance Specialist is responsible for managing the company's accounts payable, accounts receivable, payroll administration, sales and use tax filings, state registrations, business licensing, and corporate compliance activities while ensuring accurate financial transactions, timely payroll processing, regulatory compliance, and the maintenance of corporate records across multiple states; this hands-on role offers significant responsibility and visibility within the organization and requires a highly organized, detail-oriented professional who can thrive in a lean manufacturing environment, solve complex problems, and effectively manage multi-state tax and regulatory requirements.
Duties:
Accounts Payable & Receivable
- Process vendor invoices and employee expense reports.
- Match invoices to purchase orders and receiving documents.
- Prepare weekly payment runs via check, ACH, and wire transfer.
- Maintain vendor records and W-9 documentation.
- Resolve vendor payment discrepancies and inquiries.
- Apply customer payments and maintain AR records.
- Reconcile customer accounts and resolve discrepancies.
Payroll Administration
- Process weekly & bi-weekly payroll accurately and on time.
- Maintain employee payroll records and deductions.
- Ensure compliance with federal, state, and local payroll regulations.
- Assist with year-end payroll activities including W-2 processing.
Tax Compliance
- Prepare and file sales and use tax returns.
- Maintain exemption certificates and tax records.
- Assist with payroll tax reporting and reconciliations.
- Support annual tax reporting requirements and audits.
- Coordinate with external tax advisors as needed.
- Prepare and administer 1099 reporting.
Corporate Compliance & State Registrations
- Manage State filings and annual reports.
- Maintain foreign entity registrations across multiple states.
- Monitor and renew business licenses and permits.
- Track registered agent information and compliance deadlines.
- Maintain corporate records and compliance calendars.
- Support legal and regulatory filings as required.
Accounting Support
- Perform bank and credit card reconciliations.
- Assist with month-end and year-end close activities.
- Prepare journal entries and supporting schedules.
- Maintain accurate accounting records and documentation.
- Support external audits and financial reporting processes.
Qualifications:
Required
- Degree in Accounting, Finance, Business Administration, or equivalent experience.
- 5+ years of accounting experience.
- Experience with AP, AR, payroll processing, and tax reporting.
- Knowledge of multi-state payroll and sales tax requirements.
- Strong Microsoft Excel skills.
- Experience with ERP or accounting software.
Preferred
- Manufacturing industry experience.
- Experience with multi-state business registrations and compliance.
- Experience with payroll systems such as ADP, Paychex, UKG, or similar.
