The budgeted salary range for the position is $19.89/hr - $26.00/hr. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
This position is located on the Rockford campus 90 miles northwest of Chicago. (On-Site Work – Not Remote).

Position Summary
As a member of the Office of Medical Education and Evaluation, the person who holds this position serves as primary administrative support for core courses in either Phase 1 or Phase 2 of the medical student curriculum and the primary contact for faculty and course directors for these courses. This team member may also serve as the support member for Examinations, Computer-Based Testing (CBT) center, and Evaluation Programs within the campus. This person provides staff support for the following functions of the University of Illinois College of Medicine at Rockford: construction, administration, scoring and grade distribution for all course examinations; scheduling and administration of the Computer Based Testing Center (CBT), developing evaluation reports and maintaining data related to student and faculty performance.
Duties & Responsibilities
- Responsible for the initiation, coordination and support of assigned courses.
- Provide coordinator support including student placements as needed and in collaboration with the Office of Student Affairs including assisting in scheduling preceptorships, subspecialties, and educational blocks based on student interest and faculty/clinical associate availability, with responsibility for recommending alternatives.
- Supports and manages course/education materials, assignments and evaluation processes involving courseware and software such as Blackboard and Benware.
- Assist in classroom support as it pertains to managing zoom links, recordings, schedules, and teaching materials. Assist in conducting portions of an orientation for medical education program participants.
- Maintains certification as a Test Center Administrator (TCA) for our Computer-Based Test Center (CBT), which administers USMLE Step 1 & Step 2 Examinations, under the direction of the CBT Coordinator & Office Supervisor, as well as provide back-up for the CBT as needed.
- Provides back-up coverage for preparation, distribution and collection of confidential faculty evaluations of medical students.
- Cross-train with members of the Office of Medical Education and Evaluation. Provide backup for Prometric Testing Center including classroom set up for testing.
- Ensure reliable and secure administration of constructed exams from Benware to students at the Rockford campus of UICOM including, building exams, assigning passwords, and scheduling of exams on campus.
- Provide a secure environment for review of student exams in the curriculum.
- Maintain accuracy of student performance data.
- Communicate with the Associate Dean, faculty, and students regarding upcoming examinations (content, format, etc.).
- Provide support to students requiring ADA testing accommodations for approved examinees including identifying appropriate testing spaces and times.
- Provide support for all Team Based Learning (TBL) activities (including in-class support).
- Support use of web-based TBL software by faculty and students, including providing software training and troubleshooting problems.
- Train, schedule, and prepare payroll for outside proctors.
- Create and maintain a procedural manual related to the above duties.
- Prepares and supports the development of reports and reviews of medical student education courses and programs including those required by College curriculum committees and accreditation entities (Liaison Committee for Medical Education, LCME).
- Solicits student evaluations of programs and faculty from the Office of Medical Education. Works with the Course Director to communicate this information to faculty and the Department Heads.
- Serves as a resource for faculty and staff inside and outside of the Department.
- Perform other related duties as assigned.
Minimum Qualifications
- High school diploma or equivalent.
- Any one or combination totaling four (4) years (48 months), from the categories below:
- College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
- Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.
