As we grow nationally, we’re seeking a proactive and detail-oriented Construction Project Coordinator to support our teams in maintaining excellence and efficiency on every job.
Position Overview
The Construction Project Coordinator plays a key support role within the project management team, ensuring seamless communication, accurate documentation, and efficient coordination throughout the lifecycle of each project. This role supports both field and office operations by managing logistics, tracking deliverables, and assisting in the organization of all project data. The ideal candidate is resourceful, organized, and thrives in a dynamic, fast-paced environment.
Key Responsibilities
Project Administration & Documentation
- Organize and maintain project records including contracts, RFIs, submittals, drawings, and meeting notes using Procore.
- Assist in the preparation of project startup documents and digital closeout packages.
- Update logs and trackers for change orders, submittals, and key deliverables.
Scheduling & Communication Support
- Coordinate and schedule meetings, inspections, and site visits.
- Facilitate communication between project stakeholders including subcontractors, suppliers, and internal teams.
- Prepare and distribute meeting agendas, minutes, and weekly project updates as needed.
Procurement & Subcontractor Coordination
- Support the PM with tracking purchase orders, vendor deliveries, and subcontractor milestones.
- Help gather and verify compliance documentation such as insurance certificates and licenses.
Reporting & Financial Support
- Assist in preparing weekly progress reports and project cost updates.
- Help monitor budgets, review expense reports, and track invoices in coordination with the PM and accounting team.
- Maintain organized and accurate financial records within Procore.
Operational Support
- Support both field and office staff by coordinating travel, managing supply orders, and assisting with administrative needs.
- Maintain up-to-date records in Procore to ensure all project team members have accurate, real-time access to data.
Qualifications
- Minimum of 3 years of experience in construction coordination, project administration, or a similar role.
- Working knowledge of construction terminology, documentation, and project flow.
- Highly organized and detail-focused with the ability to manage multiple priorities.
- Excellent communication skills and a team-first mindset.
- Proficient in Microsoft Office (Word, Excel, Outlook); Procore experience strongly preferred.
- Associate or Bachelor’s degree in Construction Management, Business, or a related field is a plus.

Job Type: Full-time
Pay: $60,000.00 - $75,000.00 per year
