Position Title: Public Works-Accounts Payable Clerk & Construction Compliance Coordinator Assistant

The Public Works – Accounts Payable Clerk & Construction Compliance Coordinator Assistant supports the financial, administrative, and compliance functions of multiple active public works construction projects. The position is responsible for accurately processing project-related invoices, maintaining job cost information, and ensuring required compliance documentation is collected and maintained.
The role requires a working knowledge of accounts payable, construction accounting, job costing, and public works compliance requirements. The position works closely with Project Managers, Accounting, owners, general contractors, subcontractors, vendors, and suppliers to resolve discrepancies, obtain approvals, and keep financial and compliance items current.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities and work independently with minimal supervision. This individual takes ownership of assigned responsibilities, identifies discrepancies or missing documentation, and follows through to resolution.
Key Responsibilities
- Organize and process a high volume of vendor bills and invoices accurately and timely.
- Review invoices with Project Managers to verify project coding, job costs, and sales tax allocations.
- Track and follow up on invoice approvals, corrections, and missing documentation.
- Reconcile invoices against vendor statements to ensure all costs are recorded.
- Coordinate with Accounting regarding vendor, supplier, and subcontractor payments.
- Request, collect, and manage lien waivers and releases from vendors, subcontractors, Owners, and General Contractors.
- Maintain organized filing systems, tracking logs, and project documentation.
- Provide status updates on assigned projects and outstanding items.
- Support multiple active public works construction projects simultaneously.
Required Skills & Qualifications
- 2 to 3+ years of experience in:
- Accounts Payable
- Construction administration
- Compliance administration
- Public works projects

- Understanding of:

- Public works compliance requirements
- Strong attention to detail and accuracy.
- Ability to work independently with minimal supervision.
- Critical thinking and problem-solving skills.
- Strong written and verbal communication skills.
- Experience working directly with project teams, vendors, subcontractors, Owners, and General Contractors.

Compensation & Benefits
Compensation: Starting $30-$33/hr depending on experience
