Job description
Reporting to the Director of Parent Engagement, the Advancement Events Associate plays a central role in strengthening the schools’ parent and alumni communities by planning, executing and/or supporting well-executed engagement events that foster connection, participation, and school pride. The Advancement Events Associate has full ownership of the schools’ signature fundraising event, igNight, and is also responsible for leading the logistics and execution of advancement-related events. In addition, the role provides targeted support to alumni engagement initiatives and offers administrative and project support to the broader Advancement team.
This position requires exceptional organizational skills, attention to detail, and the ability to execute multiple high‑level events concurrently while building strong relationships with parents, volunteers, alumni, vendors, and colleagues. This is a 12 month position.
Key Responsibilities
Parent Engagement & Community Events
- Collaborate with the Director of Parent Engagement to plan, coordinate, and execute Parents Association meetings, programs, and engagement events.
- In partnership with the Director of Parent Engagement, serve as a staff liaison to parent volunteers and committees, supporting their work through clear communication, logistical coordination, and thoughtful follow-up.
- Manage event planning logistics for parent-facing events, including timelines, registrations, attendance tracking, run of show, and post-event follow-up.
- Support and enhance parent communications related to events, meetings, and engagement opportunities, ensuring a positive and consistent parent experience.
- Collaborate with Advancement and Communications colleagues to ensure parent and community events are aligned with broader engagement and institutional goals.
Advancement Events
- Plan, coordinate, and execute selected Advancement Department events, including cultivation, stewardship, donor recognition, and community-building gatherings.
- Serve as the lead staff member for igNight, the schools’ signature fundraising event, with full ownership of planning and execution, including timelines, logistics, vendors, budgets, volunteers, silent auction, and event-day operations.
- Develop event plans, manage invitations and registrations, track attendance, and coordinate follow-up communications and stewardship.
- Collaborate with the Communications team to support marketing and promotion for assigned events, including website updates and newsletters.
- Coordinate event logistics such as space reservations, catering, technology, décor, and vendor management.
- Develop and manage event budgets and oversee contracts and payments in collaboration with the Associate Director of Advancement.
- Support post-event evaluation, reporting, and stewardship efforts
Administrative & Team Support
- Provide administrative support to the Advancement team, including data entry, calendar management, and materials preparation.
- Support Advancement projects and initiatives, as assigned.
Key Performance Indicators
- Effective planning and execution of parent engagement and community events, including quality of experience and participation outcomes.
- Effective budget management.
- Timely, accurate, and on-budget execution of Advancement events, including igNight and silent auction performance.
- Clear, accurate event communications and records.
- Completion of post-event follow-up, reporting, and stewardship activities.
Qualifications & Skills
- Prior experience in event planning required; experience in independent schools or non-profit settings preferred.
- Bachelor’s degree preferred but not required.
- Position requires availability for nights and weekends, particularly during peak periods or special events.
- Strong organizational skills with the ability to manage multiple projects and deadlines.
- Collaborative, team-oriented approach with excellent written and verbal communication skills.
- Comfort working with volunteers and cross-functional teams.
- Flexibility and adaptability in a fast-paced, evolving environment.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Raiser’s Edge or equivalent database systems.

The St. Paul’s Schools has a compensation scale based on direct years of experience and degree held. For this opportunity, our salary range is $60,000 to $62,000 annually. Candidates with additional experience or qualifications may be offered a salary outside of the range shown.
