Job Summary
Coated Metals Group (CMG) is seeking a motivated and detail-oriented Branch Operations Coordinator to join our Phoenix team. This is an entry-level position designed to provide hands-on experience in all aspects of branch operations, sales support, customer service, and business administration. Working directly with the Branch Manager, Outside Sales Representative and Inside Sales Representative, the Branch Operations Coordinator will assist with a wide variety of responsibilities that support the day-to-day success of the branch. This role serves as a developmental position for individuals interested in pursuing future careers in Inside Sales, Outside Sales, Operations Management, and/or Branch Leadership. The ideal candidate is organized, proactive, customer-focused, and eager to learn the many facets of a growing distribution and manufacturing business.
Key Responsibilities
Customer Service & Sales Support
- Answer incoming phone calls and assist customers with product inquiries.
- Prepare customer quotations and process sales orders.
- Coordinate customer pickups and deliveries.
- Assist with follow-up communications regarding quotes, orders, and project opportunities.
- Support the outside sales team with administrative and customer service activities.
- Develop product knowledge related to metal roofing, wall panels, and accessories.
Operations & Logistics
- Assist with scheduling inbound and outbound shipments.
- Coordinate with vendors, carriers, and customers to ensure timely deliveries.
- Support inventory management and cycle count activities.
- Assist with purchasing and material replenishment activities.
- Maintain accurate records within the ERP system.
- Help ensure warehouse and office operations run efficiently.
Administrative Support
- Maintain customer records and documentation.
- Assist with branch reporting and data entry.
- Process paperwork related to sales orders, purchase orders, shipping documents, and inventory transactions.
- Support accounts receivable and collections activities as needed.
- Assist with special projects and branch initiatives.
Branch Support
- Serve as a key resource for the Branch Manager.
- Learn and support all major branch functions.
- Help maintain a positive and professional workplace culture.
- Participate in branch meetings, training programs, and continuous improvement initiatives.
- Take on additional responsibilities as business needs evolve.
Required Qualifications
- High school diploma or equivalent.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail.
- Proficiency with Microsoft Office, including Outlook, Excel, and Word.
- Ability to manage multiple priorities in a fast-paced environment.
- Positive attitude and willingness to learn.
Preferred Qualifications
- Associate's or Bachelor's degree in Business, Supply Chain, Construction Management, Sales, or a related field.
- Previous customer service, sales, office administration, or logistics experience.
- Experience working in construction materials, manufacturing, distribution, or building products industries.
