Position Summary
We are seeking an organized, proactive, pleasant and detail-oriented Expediter / Office Administrator to support our fast-paced flooring wholesale operations. This role combines administrative excellence with expediting duties to ensure timely order fulfillment, smooth warehouse-to-customer workflows, and exceptional internal and external customer service. The ideal candidate thrives in juggling multiple priorities while maintaining accuracy.
Key Responsibilities
- Coordinate and expedite customer orders from receipt through delivery, working closely with sales and warehouse teams.
- Track inventory availability, monitor incoming shipments from manufacturers, and communicate status updates to sales representatives and customers.
- Resolve order delays, backorders, and shipping issues proactively; negotiate with carriers and suppliers as needed.
- Monitor and update order status in the company ERP/system (e.g., FloorZap, QuickBooks, or similar flooring-specific software).
- Regularly communicate and work with Operations Manager and owner
- Provide comprehensive administrative, sales support to the sales teams.
- Answer phones, respond to customer inquiries, and route calls appropriately.
- Process incoming and outgoing correspondence, emails, and paperwork.
- Maintain accurate customer records, vendor files, and pricing databases.
- Assist with accounts receivable follow-up, credit applications, and basic bookkeeping tasks, bank deposits.
- Organize and maintain office supplies and showroom materials.
- Prepare reports on order status, inventory levels, and delivery performance.
- Support special projects such as trade shows, marketing mailings, or inventory audits.
Required Qualifications
- 2+ years of experience in an expediting, logistics, or office administration role (flooring, building materials, or wholesale distribution preferred).
- Excellent organizational and multitasking skills with high attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning industry-specific software.
- Outstanding verbal and written communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Problem-solving mindset with a sense of urgency.
- Able to stand, sit, lift up to 25lbs and use fingers for typing and use of office equipment
- Reliable transportation and a valid driver’s license (occasional local errands or warehouse visits may be required).

Pay: $40,000.00 - $55,000.00 per year
