Position Summary
This position does not oversee staff, but is solo work on a team of one.
We are seeking an experienced and exceptionally organized Warehouse, Import & Wholesale Logistics Manager to oversee the inbound international freight and outbound wholesale distribution of perfume, home fragrance, and related luxury goods.
The majority of this position’s work involves coordinating international inbound shipments and accurately fulfilling wholesale orders for retailers and other business customers. Because many fragrance products contain alcohol or other regulated ingredients, the role requires careful attention to dangerous-goods regulations, import documentation, carrier requirements, inventory accuracy, and product-specific storage and handling.
The ideal candidate understands both the operational demands of wholesale distribution and the presentation standards of the luxury market. They can coordinate a complex international freight shipment, prepare a large multi-SKU wholesale order, reconcile inventory, and ensure every product arrives safely, accurately, compliantly, and in excellent condition.
Primary ResponsibilitiesOutbound Wholesale Fulfillment
- Manage the daily fulfillment and shipment of domestic and international wholesale orders.
- Review sales orders, purchase orders, customer routing guides, shipping instructions, and requested delivery windows before fulfillment.
- Coordinate picking, inspection, packing, labeling, palletizing, and shipping of multi-SKU wholesale orders.
- Verify product numbers, descriptions, quantities, lot or batch information, pricing documents, and shipping destinations.
- Ensure wholesale orders are packed accurately and in accordance with customer-specific requirements.
- Prepare packing lists, commercial invoices, bills of lading, advance shipping notices, dangerous-goods documentation, and other required records.
- Arrange parcel, LTL, airfreight, ocean freight, courier, and local-delivery services as appropriate.
- Coordinate appointments and routing with wholesale customers, distribution centers, retailers, and third-party logistics providers.
- Meet customer ship windows and prevent avoidable chargebacks, refusals, shortages, and compliance penalties.
- Communicate shipment status, delays, backorders, shortages, and delivery issues to sales and customer-service teams.
- Maintain clear chain-of-custody procedures for high-value wholesale shipments.
- Investigate and resolve shortages, damages, mis-shipments, delivery discrepancies, and freight claims.
Inbound International Freight and Imports
- Coordinate inbound international shipments of perfume, candles, diffusers, room sprays, incense, and other home-fragrance products.
- Work closely with overseas suppliers, freight forwarders, customs brokers, carriers, warehouses, and regulatory partners.
- Plan air and ocean freight based on product classification, dangerous-goods status, cost, timing, and inventory requirements.
- Review commercial invoices, packing lists, bills of lading, airway bills, dangerous-goods declarations, certificates of origin, and other import documents.
- Confirm that product descriptions, quantities, values, country-of-origin information, tariff classifications, Incoterms, and consignee details are accurate.
- Monitor shipments from supplier pickup through customs clearance and final warehouse delivery.
- Anticipate and resolve documentation errors, customs holds, carrier delays, port congestion, damage, shortages, and delivery problems.
- Coordinate duties, taxes, customs bonds, brokerage, drayage, demurrage, storage, and other import-related expenses.
- Schedule inbound deliveries and ensure the warehouse is prepared to receive and inspect freight promptly.
- Maintain complete and organized import records for operational, financial, insurance, and regulatory purposes.
Dangerous Goods and Fragrance Compliance
- Oversee the compliant storage, handling, packaging, labeling, documentation, and shipment of perfume and other regulated fragrance products.
- Determine the appropriate shipping procedures for alcohol-based perfumes, room sprays, aerosols, flammable liquids, and other potentially regulated goods.
- Ensure compliance with applicable air, ground, ocean, and international dangerous-goods transportation requirements.
- Maintain current safety data sheets and product transportation classifications.
- Ensure that approved boxes, inner packaging, absorbent materials, closures, labels, markings, and documentation are used.
- Prepare or supervise dangerous-goods declarations and other required shipping documents.
- Ensure employees handling regulated products receive appropriate training and maintain required certifications.
- Establish safe procedures for leaks, spills, breakage, damaged goods, and product quarantine.
- Maintain appropriate storage, segregation, fire-safety, and incident-reporting procedures.
- Work with carriers and compliance specialists when product classifications or shipping requirements are unclear.
Inventory Management
- Maintain accurate inventory across the warehouse, retail stores, e-commerce, wholesale, events, and goods-in-transit.
- Oversee the receiving, inspection, labeling, put-away, replenishment, transfer, allocation, and adjustment of inventory.
- Reconcile inbound freight against supplier packing lists, purchase orders, and customs documentation.
- Record and investigate shortages, overages, substitutions, damages, leaks, breakage, and incorrect products.
- Track lot numbers, batch codes, manufacturing dates, expiration dates, or other product-level information when required.
- Conduct regular cycle counts and coordinate full physical inventories.
- Investigate inventory discrepancies and implement corrective procedures.
- Manage inventory allocation for wholesale orders in coordination with sales, buying, and finance teams.
- Identify low stock, excess inventory, slow-moving merchandise, and products approaching expiration.
- Quarantine damaged, leaking, expired, recalled, or otherwise non-saleable goods.
Luxury Product Handling and Packaging
- Ensure perfume bottles, candles, glass vessels, diffusers, ceramics, and other fragile products are handled and stored carefully.
- Develop packing standards for fragile, liquid, flammable, high-value, limited-edition, and presentation-sensitive merchandise.
- Protect products from leakage, breakage, crushing, scratching, heat exposure, label damage, and movement during transit.
- Ensure wholesale orders are packed efficiently while preserving product condition and presentation.
- Oversee case packing, carton labeling, pallet configuration, stretch wrapping, corner protection, and other freight-preparation requirements.
- Arrange insurance, declared-value coverage, signatures, security controls, or specialized transportation for high-value shipments when appropriate.
- Maintain secure access and chain-of-custody practices for valuable or limited inventory.
- Balance product protection and luxury presentation with shipping cost, sustainability, and carrier requirements.
Warehouse Operations and Leadership
- Manage daily warehouse priorities, staffing, receiving schedules, order deadlines, and carrier pickups.
- Maintain a clean, secure, organized, and appropriately climate-controlled warehouse.
- Create efficient locations and workflows for small, fragile, high-value, and regulated products.
- Develop and maintain written procedures for receiving, storage, inventory, wholesale fulfillment, dangerous goods, and international shipping.
- Hire, train, schedule, supervise, and evaluate warehouse and fulfillment employees as needed.
- Reinforce high standards for accuracy, safety, productivity, organization, and product care.
- Coordinate warehouse activities with wholesale sales, buying, finance, retail, e-commerce, and customer service.
- Maintain adequate supplies of approved cartons, pallets, labels, cushioning, absorbent materials, dangerous-goods packaging, and shipping documents.
Carrier, Broker, and Vendor Management
- Manage working relationships with freight forwarders, customs brokers, parcel carriers, LTL carriers, couriers, and packaging suppliers.
- Compare freight services based on compliance, reliability, transit time, product protection, and cost.
- Negotiate shipping and logistics rates in coordination with company leadership.
- Monitor carrier performance, accessorial charges, fuel surcharges, duties, brokerage fees, claims, and overall transportation spending.
- Escalate repeated service failures and recommend alternative providers when necessary.
Reporting and Systems
- Maintain accurate information in inventory, warehouse, wholesale, shipping, e-commerce, and accounting systems.
- Provide reports on wholesale order status, inbound freight, inventory accuracy, shipping costs, damages, claims, and fulfillment performance.
- Track key performance indicators such as:
- Wholesale order accuracy
- On-time and in-full shipment rate
- Inventory accuracy
- Receiving turnaround time
- Freight and parcel costs
- Damage and leakage rates
- Customer chargebacks
- Dangerous-goods compliance
- Customs delays and import exceptions
Qualifications
- Three or more years of warehouse, wholesale fulfillment, import logistics, freight, or distribution-management experience.
- Experience with wholesale or B2B order fulfillment, including multi-SKU and palletized shipments.
- Experience coordinating international inbound freight and customs clearance.
- Experience with perfume, cosmetics, beauty products, home fragrance, alcohol-based products, candles, or other regulated consumer goods strongly preferred.
- Working knowledge of dangerous-goods shipping requirements for air, ocean, and ground transportation.
- Dangerous-goods certification is preferred; willingness and ability to obtain and maintain all required training is essential.
- Familiarity with commercial invoices, packing lists, bills of lading, airway bills, Incoterms, tariff classifications, and customs documentation.
- Experience with inventory-management, warehouse-management, ERP, EDI, wholesale, or shipping systems.
- Strong understanding of inventory controls, cycle counts, receiving reconciliation, and discrepancy investigation.
- Exceptional attention to detail and a strong commitment to order accuracy.
- Ability to manage multiple international shipments, wholesale deadlines, and operational priorities simultaneously.
- Strong written communication, documentation, leadership, and problem-solving skills.
- Sound judgment when handling valuable merchandise, confidential information, and regulated products.
Physical and Scheduling Requirements
- Ability to stand, walk, bend, reach, and perform repetitive warehouse activities for extended periods.
- Ability to safely lift and move cartons weighing up to 50 pounds, with reasonable accommodation where required.
- Ability to safely work around glass, liquids, candles, alcohol-based fragrances, and properly stored regulated materials.
- Availability for early deliveries, carrier pickups, physical inventories, peak wholesale periods, and time-sensitive international shipments.
- Occasional evening or weekend work may be required.

Pay: $78,000.00 - $95,000.00 per year
