This position supports the Lighting Division of Hellas, Inc., a TenCate company and nationwide provider of sports construction, synthetic surfacing, and athletic lighting solutions. Based in Seguin, Texas, the role will work closely with Project Managers, field teams, vendors, subcontractors, and other internal partners to keep lighting projects organized, accurately documented, and moving forward from planning through closeout.
Position Summary
Hellas is seeking a Project Coordinator to support the planning, administration, and execution of projects within its Lighting Division. This developmental position will assist with project submittals, scheduling, vendor and subcontractor coordination, materials, documentation, budgets, purchase orders, equipment, and project closeout activities.
The Project Coordinator will serve as a key connection between Project Managers, field operations, vendors, subcontractors, and internal stakeholders. The role requires strong organization, attention to detail, and a willingness to gain hands-on exposure to construction and basic electrical principles. Occasional overnight travel of up to 50%, as well as evening or weekend work based on project needs, may be required.
Key Responsibilities
Project Planning & Coordination
· Collaborate with project teams during the planning and job setup process.
· Contribute to the scheduling and planning of field activities, materials, equipment, and other project resources.
· Track project production progress, deadlines, deliverables, risks, and issues, and communicate updates to the Project Manager and project team.
· Help ensure projects remain organized and on schedule throughout the project lifecycle.
· Act as a point of contact between internal teams and external stakeholders, supporting clear and timely communication.
Submittals & Project Documentation
· Create, coordinate, and maintain project submittals, including work plans, schedules of values, Health and Safety Plans (HASP), and material submittals.
· Maintain accurate and organized project documentation, including reports, invoices, contracts, schedules, correspondence, and closeout records.
· Assist with reviewing Job Safety Analyses (JSA), daily reports, and other project or safety documentation.
· Ensure project records are complete, current, and maintained within company systems.
Vendor, Subcontractor & Material Support
· Evaluate vendor and subcontractor quotations for accuracy, scope alignment, and compliance with project requirements.
· Coordinate with vendors, subcontractors, and project teams regarding materials, supplies, delivery needs, and required documentation.
· Support the timely provision of materials and project assets from initial job setup through project closeout.
· Assist with resolving discrepancies involving quotations, purchase orders, invoices, quantities, or deliveries.
Budget, Purchasing & Equipment Administration
· Assist with project budgets, purchase orders, invoices, assigned equipment, and other project-related financial documentation.
· Provide administrative support to the Project Manager, including ordering supplies, scheduling meetings, coordinating workflow, and maintaining project records.
· Oversee and track the Lighting Division’s fleet and assigned equipment, helping ensure appropriate management, availability, and maintenance.
· Follow company policies, procedures, and project standards in the administration of assigned work.
Field & General Project Support
· Participate in field operations periodically to build an understanding of construction activities and basic electrical principles.
· Demonstrate initiative, adaptability, and a willingness to learn the company’s capabilities, resources, and project-delivery processes.
· Support the project team in identifying and addressing changing project requirements or site conditions.
· Perform additional duties as assigned based on project and business needs.
Qualifications
· Bachelor’s degree in Construction Management, Construction Science, or a related field preferred; a minimum of three years of relevant construction management, project coordination, or project engineering experience may be considered in lieu of a degree.
· Experience with project coordination activities such as scheduling, tracking, documentation, submittals, purchasing, and communication preferred.
· Basic knowledge of construction permitting processes, 811, and GPRS utility locating is a plus.
· Knowledge of construction trade terminology, materials, methods, codes, contracts, specifications, and bidding practices preferred.
· Proficiency with Microsoft Office and project or construction management systems such as Microsoft Project, Autodesk, Microsoft Dynamics 365 Business Central, or similar platforms preferred.
· Strong written and verbal communication skills with the ability to interact effectively with management, project teams, field personnel, vendors, subcontractors, and clients.
· Excellent organizational skills with the ability to manage multiple projects, deadlines, and priorities in a fast-paced environment.
· High level of accuracy, attention to detail, and commitment to maintaining complete records.
· Strong problem-solving skills with the ability to adapt to changing project requirements and conditions.
· Ability to work in a normal office environment and periodically at active construction sites.
· Ability to travel overnight up to 50% and work occasional evenings or weekends based on project requirements.

Pay: $55,000.00 - $65,000.00 per year
