Archon Resources is currently looking for an Administrative Specialist/Receptionist to join one of our best clients located in Midwest City, OK. This is a contract opportunity for a period of 5 months to work on a specific project.
Summary:
An established financial services organization is seeking a detail-oriented Administrative Specialist / Receptionist to support Financial Advisors and daily office operations in its Midwest City office. This temporary assignment is expected to run through the end of the year and offers an opportunity to join a collaborative and customer-focused team environment.
Responsibilities:
- Manage address changes and client notification updates.
- Process client referrals and assign requests appropriately.
- Maintain electronic and physical filing systems.
- Create and organize new client files and folders.
- Scan and image documentation into internal systems.
- Prepare labels, correspondence, and client communications.
- Process member and client surveys as needed.
- Assist with invoice processing and bill management.
- Maintain forms libraries and ensure documents are current and compliant.
- Serve as the first point of contact for clients, visitors, and appointments.
- Welcome walk-in visitors and provide exceptional customer service.
- Answer incoming inquiries and direct communications appropriately.
- Coordinate appointment confirmations and scheduling communications.
- Distribute appointment schedules and updates to internal teams.
- Open and close the office daily.
- Coordinate office supply inventory and replenishment.
- Manage refreshments and breakroom inventory.
- Submit service requests and coordinate with vendors for office maintenance and repairs.
- Pick up and distribute incoming mail and deliveries.
- Assist with seminar and event planning, preparation, and execution.
- Coordinate mailings, marketing materials, binders, and event logistics.
- Support seasonal client communications and appreciation initiatives.
- Prepare special mailings, welcome packages, and outreach materials.
- Prepare recurring internal reports and distribute to appropriate departments.
- Assist with compliance-related documentation and reporting activities.
- Support internal audits, record maintenance, and operational projects.
- Provide administrative support for advisor initiatives and special projects as assigned.
Requirements:
- Previous experience in an administrative assistant, receptionist, office coordinator, or customer service role preferred.
- Experience supporting financial services, banking, wealth management, or professional services environments is a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office Suite and general office technology.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Positive attitude and willingness to support a collaborative team environment.
